Mayra, While quarterly meetings should be enough for existing issues, the FA Director should often remind other Directors to keep FA in the loop when there are policy changes and new regulations. This will help insure that the FA Office is not blindsided during and audit or review. Warren Hoffman
Daisy, Weekly meeting may be a little too much for other departments that have so much else on their plates. I would consider quarterly meeting with an appointed compliance team composed of someone from each office as sufficient. Warren Hoffman
Daisy, Keeping up with compliance issues could be a full-time job. It is important that the FA Director trains other staff members in the office or other offices so that they know what to look for to avoid issues that can cause problems with keeping Title IV eligibility for the school. Daisy, That is correct. The entire school is responsible for the administration of Title IV programs. Consider taking FA231 which deals with areas other than financial aid that have a role in overall compliance. Warren Hoffman
Daisy, I believe it is always better for the school to find the funds to pay in this scenario. Waiting until the Department finds the discrepancy in an audit in never advisable. Warren Hoffman
Daisy, There are so many laws and regulations that keeping up can be a full time job. There is plenty of literature out there. It is important for Aid Officers on all levels to network with others to find answers when they are not obvious. Knowing what you don't know is as important as knowing what you know. As in any field, keeping up with the literature makes for a better counselor. Warren Hoffman
Mayra, All good suggestions. Remember, it is best that auditors directly work with one designated employee (it doesn't have to be the Director)who can provide them with with any documents that they ask for and to answer any of their questions. It will provide for consistency in response and make it easier for the Audit Team to understand the situations. Warren Hoffman
Daisy, There are so many compliance issues that reside outside the Financial Aid Office. May I suggest that you register for the course FA231-Compliance Outside the Financial Aid Office. It is a new course which discusses in detail all the ares and offices on campus that have a share of the compliance responsibilities. Warren Hoffman
Mayra, Yes, Directors and others in the office MUST keep up with the literature which outlines changes and details about law and regulation. It also helps greatly if a Director can maintain a network of associates that can help each other to keep current and discuss issues to find focus and clarity. Warren Hoffman
