Admission Process and Paperwork

As time progresses and you keep enrolling students, what do you find to be the best way to keep up with all of the documents from students that you've acquired?

At my previous institution I had a file folder with my students for that particular module, however, that doesn't seem to be a "one size fits all method" as I'm now at a new institution and that doesn't seem like a good method..

That is the honesty and integrity factor when it comes to admissions. We must act responsibly and be in compliance with all rules and regulations that govern our school.

That's okay! Important part of the process is that we have a process. Maintaining compliance takes diligence and hard work.

I also find it much easier and much more organized when I have a file folder filed away in my office just for my records.

Spreadsheets often work the same as a checklist. As admissions personnel, it is our responsibility to make sure that the paperwork is filled out correctly and in its entirety. Having a spreadsheet makes that job so much easier.

Our institution keeps files for all enrollments in the admissions office while the students is enrolled . To make sure that nothing gets missed I have an excel sheet that where I note what is needed for each student and it helps me follow up as well.

You're keeping excellent records. It is important to maintain the copies of all records and requirements for school.

For my admissions, I try to keep a soft copy for my records and move the hard copy over to the student services department

Some people use daily files in order to keep track of when we need to follow up. They used to be called tickler files where that would remind you to complete a task.

That's great! A checklist is a great tool to have in order to make sure that we are completing every aspect of the enrollment process.

We are required to keep all documents relative to the admissions process while the student is enrolled at school. The admissions folder should move over to the academic file where is maintained by yourregistrar.

Yes Outlook is very helpful to help keep track of things. I also separate and make separate folders and places for everything. Keeping organized is definitely key!

We keep a file folder for each enrollment. I also keep track of things I need from them/where I left off with them in Outlook Tasks. ITs very helpful, you can also set reminders so you do not forget to do things, calls to make, questions to ask your director, etc. With so many enrollments, it helps me remember every little detail.
