What are some ways to keep on track with follow ups and enrollments?

Exactly! Good customer service is knowing when and how to contact. A tracking system keeps you on task.

I believe any type of tracking system is valid, as long as the school is able to follow up with their students in a timely manner. This is a very important part of good customer service.

Technology certainly helps us keep on top of our prospects. Remember though we are still working with people.

We use a database system as well. It makes it a lot easier because you can set the date for the follow up and it helps a lot for keeping notes on each prospect. Emails can also be sent and it helps a lot now-a-days that people prefer to communicate through emails if they have very busy schedules.

Utilizing our campus enrollment software is a good tool for maininting control and track of enrolled students. If our students do not feel we are providing the quality service and support we discussed in our interview, the student may be less likely to continue and start. Enrollment logs and appointment books are also useful if/when computers are down.

I too utilize outlook. My prefered method is the good 'ole day planner.

Our school uses an enrollment tracker. We have weekly team meetings as well as one-on-one meetings with our managers. We discuss this in training as well, and set up every follow-up activity while engaged in the present activity in Outlook, so that reminders will pop up.

I always like to set follow up appointments in my outlook calendar. I create files for each student and send B-Day cards and holiday cards as well as any activities going on on-campus as they are always welcome to participate regardless whether they are already enrolled or not.

We use our own operating system Smart. Smart allows you to set a date to follow up and that person shows up in the system the day that I scheduled. I also use outlook as well.

Schools have different ways of tracking. Some use a spreadsheet, others use a database program. Smaller schools may use paper files to track.
