Ernollment Forms
I keep my enrollment forms handy at my desk. We also have a school-wide site with up to date forms. I have an alert set up to notify me when forms have been updated or changed. I keep that site in my bookmarks so it is easy to access if I need it quickly.
I believe that keeping a hard-copy package of forms for students is incredibly valuable because if for any reason you do not have the ability to access the forms electronically, you have them on file.
We use a website that allows the student and us to always refer back to any document that is signed by a student. This helps because the student knows what he/she signed up for.
We work as a team to make sure that we all have enrollment forms and other needed documents ready at all times. This ensures that at no time will we need to hold off on anything running the risking of delaying the enrollment process. We also have shared check lists so that each function sharing duties can see what has been completed and what needs to be completed. This keeps communication open, enables reliability and fewer mistakes, and helps the student stay updated.
