how do you organize your paperwork??
I'm curious to know how everyone else is organzing your paperwork? I have to binders I keep plus and "orginals" file incase my binders go "missing."
I am developing a paperless system using my Outlook calendar to take notes and set follow-up appointments all in one spot. As far as forms go, they are also kept in our school's system.
Victoria,
What a great idea!!! I am definetly going to do the same thing to be completely knowledgable and organized on each program!!
Keeping everything handly is key to staying organized!!
Use computer software for important information on students. Use notebooks to keep track of information.
I am going crazy w/paperwork! I only keep one copy, because it is also in the computer. I could use some assistance on it though!
Most of my paper work is paperless.
I typically use folders for students that have applied.. I have created seperate folders for leads and interviewed applicants..
I like to keep binders in a systematic order but I would also like to use a digital back up of all files in case the binders disappear.
I find two things helpful. Binders are fantastic, as well as having a copy of the different papers on my computer. This way I don't need to go looking through a binder.
It always depends on what the actual item is though. I'm at a computer all day long so most of my stuff is right at my desk.
I have catalog packets made up with the application forms in the packets I mail out to prospects who request information. Also I have enrollment folders I make up for prospects who are ready to enroll. I have the schools catalog, application forms and enrollment forms all on a flashdrive.
everything has a file folder in the order i need to use it incuding a master file . Replish copies as i use them . and i have enrollment packets made up. I have a reference book of my notes and informational paperwork seperated by subjects and tabs for quick reference.
I'm also finding that the alphabetization of materials (3-ring binders) works best.
Paperwork is my biggest challenge. My car, although organized, is a virtual office on wheels. I am constantly replenishing my files. I have a crate with hanging file-folders in my car. This is in my backseat. In my trunck, I have a couple stacks of needed forms to replenish the folders. Each folder is labeled and clearly serves it's purpose. It is so easy for me this way.
In the home, I simply carry in my laptop and my folder filled with the form that I might need. If I don't go so far as to qualify a student for enrollment, I put the forms back in their designated spot.
Easy as enrolling 4 students per week while driving 800 miles per week.
I usually use folders that are in aphabetical order for my students whom have enrolled and I use binders for all my leads to keep them seperate.
I have a binder of each program decription with all the classes as well as a copy of our enrollment form. For each potential student, Fortis Online has an outlined set of guidelines that meet Ohio Board requirements, so I can insure I follow it specifically for consistency and compliance.
I am implementing a 3 ring binder to keep my interview paperwork in after I have spoken with someone. I also have all the materials in our tri-fold folders.
