I realy like the one on one appoach I have a large student body and a small staff. I miss the days when I could work with a student one on one I believe that helps the student understand the process and it cutes down on mistakes as well

We mail out the verification letters to the student. We also call the students and schedule a time for them to come in a see use we tell them all the documents needed to clear verication and anwers any question they might have about the verfication process.

The FSA Handbook - AVG Section - Verification chapter indicates your college must have written policies and procedures on the following items:

deadlines for student to submit documentation & consequences if they fail to submit;

method of notifying students of changes in their awards due to verification;

correction procedueres;

standard procedures for referring overpayment cases.

Also, the guidance in the FSA Handbook indicates your college must provide the applicants selected for verification a written statement explaining:

Documents required;
Student responsibilities; and
Notification methods;

As long as your policies have procedures to meet these requirements you are within the requirements. You do not have to publish in your catalog or other information as long as you provide the necessary information to the selected students.

Thank you for your response. We do have policies in place that we provide to our students selected for verification and our catalog mentions that but does not have all the information listed. I am having trouble finding where it is a requirement to have verification requirements, timeframe, etc. in your catalog or published anywhere else for that matter. I am looking at the federal regulations #668.53 and there is no mention of that. Can you advise on where it is stated?

That is great approach to assisting students; however, one of your requirements is that the college must have a defined and published policy and procedures on students selected for verification. This requirement can be satisfied through publishing your requirements for completetion of verification, timeframe to complete, how you handle corrections and recalculation of award amounts, etc. in your consumer information or catalog. The hands on approach is great from a customer service perspective; however, defined guidelines are required.

We are a smaller school and are very hands-on. The requirements of our verification are communicated with one-on-one meetings. We have step by step instructions but we really walk them through the process to give them every chance to be successful.
