choosing the right time
I'd like to know better how to adress giving feedback to a report who has made an obvious mistake, or created a problem. When this issue has been brought to my attention by another report.

Thanks for your question! I think that giving feedback is a definitive process. First, choose the correct time and place. Then state the purpose of your feedback - specifically. Next, mention your observations before any reactions and allow your report to give feedback from his/her perspective (to ensure everyone is on the same page). If there is an issue, needed resolution or need for improvement, collaborate with your report on the next steps, again specifically, allowing time for mutual suggestions, but at the same time ensuring that your points and direction, as a supervisor, are taken. Finally, summarize, paraphrase if necessary, and set some accountable timelines and/or benchmarks for resolution and improvement. I have found that the process is undermined when an employee is still unsure as to the expectations, so it's important to be clear, concise and, of course, supportive.
