Paper Trail: keeping a log
I think that when dealing with prospective students, admissions counselor, should always have a log of where the that students file and paper work is.
This way you always know where the students file is. You know what documents where handed in and what is where in case it goes missing.
It has always helped me when I could not find a file or a document for a student.

I also have a spread sheet that I use as a quick reference that changes color as the status changes. This has been a very useful tool in keeping track of all that goes on during my day to day routine, and can also can be a quick cheat sheet to present at weekly status meetings.

We have used a spreadsheet on a shared drive that uses color coding for the status and columns for checkoffs.
