Mailing catalogs to prospective students

Our policy is to mail a catalog to each prospective student when they request information from us. The online form they fill out includes a place to enter a mailing address. On occasion, the address is incorrect. If a catalog is returned by the postal service, we send an email (if an email address was provided) requesting an updated mailing address. In addition, we ask all tour attendees if they received a catalog, and we make them available during the tour to anyone who didn't receive it in the mail or who may simply want another one. This way, we make certain that all prospective students have posession of a catalog and have the answers they need at their fingertips.

Sianna,

Some schools use only a catalog. Others also include a student handbook. What is important is that every aspect is in the catalog as that document along with the enrollment agreement constitute the contract between the student and the school.

My campus does an extraordinary job of reviewing the catalog with students and reviewing where the catalog can be found. We offer a hard and electronic copy of the catalog and are certain to show students how to access the catalog when needed.

Also, management also reviews any changes to the catalog and are certain to provide employees and staff with the most updated version of the catalog. There are also meetings to outline and highlight changes that occured from the previous volume.

Our school catalog is pretty long as it is very detailed about policies and procedures. Do most campuses have handbooks that are very long?

Alan,

Yes, but a hard copy must be available.

Is having an online pdf of the school catalog an acceptable alternative to mailing copies of the catalog to applicants?

daniel,
Excellent! Keeping staff informed is essential in making sure changes are implemented and well understood.

as the director of my campus, i ensure that we are always on top of changes If we change something, i make sure an addendum is added to the catalog immediately.

Thank you so much for sharing this process. Always nice to know what other institutions are working on.

Michael,
Excellent! Thank you for sharing your process. It is required by rule that all students receive a copy of the catalog.
