What to do with the documentation in case a student does not participate in the program after had signed the enrollment agreement?

From what I have been informed about students that apply that don't actually start, we have to keep their files for 1 calendar year. Students that were fully enrolled and then either didn't show on start day, canceled before start day or canceled in the provision period; we need to hold on to files for 5 years. I also think it is best practices to file away crucial documents so that getting them re-engaged in school happens more smoothly.

That is very true! That's why a lot of people use email as a record of conversations. In admissions, many admissions representatives keep a log of what has transpired.

I feel that it is good practice to keep copies either paper or electronic of all communications, and other paperwork including enrollment agreements on all prospective students even if they cancel. One thing I've learned is that if something is not documented, than you cannot prove that it has been done properly.

If the student did not start, then it is considered a cancel of enrollment. You will still keep the paperwork but the file is marked as a cancel.
