What documents to keep, what you can toss—and when?

All documents related to a contract must be kept in perpetuity. The school is the custodian of records and upon closure of the school the documentation must be turned into the state.

This is where your institution should have a checklist in process. There are certain documents that are required in the student experience in admissions that relate to the contract and must be kept. Same way with financial aid. Since this is a contract all contractual documents are required to be maintained in the file in perpetuity.

I think the answer to this question depends on the type of document and the type of student. For example, sensitive information that was printed out multiple times (i.e. social security, passport, visa, etc.) should be shredded because it is very private, sensitive information. Also, in terms of privacy, folders containing such documents should be filed away and stored in a private location so as to keep the integrity of the student. Propaganda and promotional material can be thrown away. Anything, however, that contains private information should only be shredded if it is to be tossed.
