Follow Up with Students

How are you guys keeping track/ following up with your current students and perspective students?

I schedule in my calender when to follow up with my students and i take notes through my dashboard. This has always helped me.

In addition to using CampusVue to keep track and up to date with students and prospects I would keep a notebook with all names, appointment times and dates with phone numbers and times to call as well.

We have an online lead system, and daily pipeline reports are distributed.

most of the time I follow up with my students by making appointments in outlook. I also have a spreadsheet that helps me keep track and allows me to follow up at appropriate times.

I make it a point to walk the halls of my school and acknowledge students by name and ask them how their day is going, how things in their lives are going, and most importantly, how school is going. I think this face to face interation is important as it lets the students know that I supported their decision to come to school and I support them through the process as well.

Organization is the key! Ask your co-workers for tips, then utilize what works best for you.

I keep a spreadsheet of all of the leads I receive. We also put them in a database so if someone else receives an email from them they can post it to their account so we are all aware of it.

I follow-up with a lead system. I also I have spread sheet that I keep track of when I contacted the person, how I contacted them (email, phone, postcard) and key notes of what the person said. I will also send postcards or icontacts to list retrieved from conferences.

I send the perspective students postcards to remind them of upcoming orientations and to keep them informed of other important events proceeding the start of class.

This orginally was an obstacle as well, in staying organize. I have now create folders for all resources and students that I am working with. I set all appts. in my outlook and set timer so that I can be ready and prepared for appt. I have also use a great spreadsheet in excel that has a list of all students interviewed, enrolled, and starts so that I can track my success rate as well as activity. I have became better at updating it as needed but it really is a great tool to use to help you in accountability of follow up.

At my school we have software that has all students (perspective and current); it functions like a calender. It makes life easier.

The best way of keeping track of who, when, and where is to write down (ie, notebook, computer), this way you can track for yourself when did you talk to a certain and the best time to get ahold of someone instead of wasted time.

I like to keep a separate notebook that I can pencil in what I have spoken to the student about, where they are in the process and what things may be holding them back.
