What are some suggestions to organize materials for compliance?
In this day of electronics - make everything available in one central location. On a website that is able to be viewed from anywhere. Not just on an internal site.
Having quarterly refresher meetings and creating powerpoint presentations to keep everyone abreast of changes and updates to laws, policies, and procedures.
Centralized organization for access for all
As the Director of Admissions I have supplied a "compliance document" that the admission representatives keep at their desk for a go-to. This allows them to stay compliant at all times.
We have a Director of Administration that oversees compliance. She checks to make sure the school meets all of its requirements set by the various accreditation boards and program approval standards.
I would suggest compiling all compliance materials into a shared document for all employees to view.
Our school organizes a packet for our students and we have a check off sheet which includes all of the requirements of the state. We are always double checking ourselves to make sure we are compliant.
To organize materials for compliance, we provide each student with a leave behind and inquiry card if they wish to inquire more information from the school. We are also provided with a copy of FAQ compliance "question and answer" pamplet we are to memorize and keep with us at all times.
Making sure that every student is supplied with accurate and current information is crutial.
We have our materials in place and ready for each student we see in place prior to meeting with them so nothing is left out.
