disposal of student files

Hi everyone;

I am curious about any regulations about disposal of student files.

Can someone use a personal shredder in their office, or must you have a professional company shred your files?

Are you required to keep a record of when you shredded your files?

It's always good to confirm with your specific regulators as to their consideration of digital/electronic vs. physical originals. I am seeing more and more entities accepting digital in lieu of paper, although the specifics around how the forms are received, electronic vs. "wet" signatures, and other elements do have some ongoing controversy.

Digitally - If we scan documents and place them in a fireproof digital safe (fire and waterproof) can we count this?

AACRAO puts out a publication on student record retention called "AACRAO's Retention of Records: Guide for Retention and Disposal of Student Records". There are various requirements and you will also want to check with state and other relevant regulatory bodies for your institution. I hope this helps.
