Keeping Up with changes

As Admistrative Representatives we must always be up to date with changes in programs, disclosures, and compliance forms.

As an AA and Records Coordinator you play a very big role in the schools overall level of compliance. It sounds as if you are very organized, which is key in your position. Good luck and keep up the good work.

I am an administrative assistant as well as the records coordinator. Despite us still being a small, private school there is a lot of paperwork that comes in through the office and managing can be overwhelming at times. We have paper files as well as electronic files. As soon as I get any paperwork, I scan it into the computer so in case it gets lost or if there is any dispute about paperwork I can always check the computer for any documents and print them out if need be. I also have to check it off in the student paper file and file it. From there I also have my own separate check list for the students documents so that I don't have to actually pull the students file to check for any missing documents. I also have to have a separate check list for the documents that are scanned into the computer to make sure they also get input into our schools computer system. It is a lengthy process, especially when we started transitioning. The work seems like its never done.

I have had a number of colleagues ask me how I stay up to date. The answer is careful time management and positive habits. I think constant learning keeps you humble, as everyone needs to remember what it is like to be the “newbie”. The interesting new twist on learning is that my world is now not focused on collecting degrees, diplomas and certificates. Instead I seem to invest a lot of time in unstructured learning in two very different worlds - the real and the virtual one. The following are some examples of how to stay current through unstructured learning.
Real World Learning through:
1) Professional Memberships-Pick at least two professional bodies and make the most of your membership. 2)Catch Up Lunches -Make a conscious effort to meet up with a colleague for lunch each week. For me, this really is more of treat than a chore. 3)Newspapers & Magazines -Try dedicating one hour each to reading quality industry updates. 4) Monthly Book -Every month purchase a book for your personal library - read it, make notes and attack it with a highlighter. 5) Last but not least Online Training Courses -that allow you to manage you time effectively and learn when you can.

Yes, we have to be up to date with any changes, that way we are able to give accurate information to prospective students.

I completely agree with this. If we don't stay up to date on all new changes, we cannot provide the proper services to our students.

Being updated with changes increase the chance of new ideas and keeping up with the disclosures and compliance forms.

Although keeping up with industry news may seem to be just one more thing to add to your To-Do List, there are several important benefits.

First, you'll make better decisions, and you'll spot threats and opportunities early on, which can give you a competitive edge. This is especially important if you contribute to shaping your organization's strategy. It's also important if you're involved in sales and marketing, where it helps you identify and take advantage of the sales opportunities that come your way.

Secondly, keeping up-to-date with your industry is key for building expert power . By developing expertise in your job and your industry, you'll earn the trust and respect of the people around you. From a leadership perspective, this is invaluable!

Finally, it will alert you to changes that you need to think about. This is the sort of information will save you future embarrassment.

To keep up with news and developments in your industry, the first thing you need to do is identify the best sources to use. The best sources would be the USDOE, Accrediting and Licensing Agency.

Yes As Administrative Representatives of our institute we should always be up to date with changes in programs, disclosures, and compliance forms. We are the first person the perspective students see and we have to make sure we represent the school well and give that first good impression.

I am in complete agreement, if one doesnt stay up to date on all the new changes to programs. how are we supposed to provide the student with the best possible customer service.
