Communicating Verification Requirements

How do you communicate the requirements of verification to your students?

We have a one on one meeting with the student to discuss the process of completing verification if they are selected. We also post our policies and procedures in their catalog for references.

IRS Data Retrieval does not work for all students but it sounds like you have a plan to ensure all students receive the necessary assistance. It is critical to be there and assist students as needed. Great job on giving your students options and addressing any questions/concerns.

We encourage the IRS retrieval tool; however there have been times when it is not available. In that case, we have them complete, and wait for the ISIR to determine what documentation is needed (if any). If so, we call them and set an appointment to come in to our office with the documents and we can assist them through the process of correction and IRS retrieval. This also gives the student the opportunity to ask questions, as well as create a working relationship with our FA team.

I think it is excellent that you utilize various medians to communicate with your students. It takes different approaches with students since most are not a one size fits all. It is good to provide a listing of what is required to ensure the student (and parent if applicable) fully understands their requirements. Full notification is the best method to use when communicating with students.

We communicate verification by phone, mail, and email. We usually provide them with the outline of what is required to complete verification to ensure we are compliant with our collection/ reporting requirements to receive aid on behalf of the students.

When dealing with online students it is very important to have clear detailed messages to the students on what is required. If you have the ability to customize this messaging to each student's needs that would be great. This would ensure that students know and understand their specific requirements.

As we are an online school, we would use email to communicate with the students what is needed for verification. I would definitely encourage them from the beginning to use their documentation while filling out their original form both so they are certain the information they are filling out is accurate and also this insures that they have the documentation on hand if the need for verification arises; they now have all the paperwork they need and there is no need have a delay in the process due to the student running around gathering what verification demands from them.

Your process as described seems to be very comprehensive. It assures the student's requirements are delivered in various methods. It is important to ensure that students receive and understand their requirements on verification with ample time to meet these requirements.

Our school uses various forms of communication for communicating the requirements for verification to our students. We email all students selected for verification with the notification letter and the verification worksheet. This creates an electronic trail that the student was notified. We also talk to the student in person during orientation. We follow up with a student via the phone if they don't respond to the email and/or in person contact.

Our requirements are communicated on the financial aid interview

We communicate the verifications with the students in our offices so we have the opportunity to explain why the students have been called to have a verification requested . Meeting with the students face to face lets everyone be on " the same page" and helps to motivate the student by explaining how important this task is and how this directly effects them . This knowledge that is relayed to the students greatly aids in the promptness that the task is completed .

once we have a student's ISIR and the student was selected we inform them and hand them a verification pack to be returned with in 10 business days..

Hi Chyrl,

We usually contact the student by phone first. Email is our last resort since it may seem impersonal.

As far as the verifications needed, we usually inform them on what to bring in and we set an appointment within 3 days of contact. That way, our student knows they are important to us and we can clear all verifications quickly and efficiently.

I explain to them the Verification Process and requirements in the FA visit face to face. So if the ISIR comes in selected they have a clear understanding of the process.

First we look at what needs to be verified, and then collect the correct sheets. Then, we call the student to let them know what they need for verification when they come into our office. This prevents multiple trips to the FA office.
