Office Management
In an age of increasing teleworking, how do managers ensure that files and records are kept? As long as there are no problems, disorganized records are not an issue. But when legal and ethical issues do arise, organizations may find themselves negligent. I believe virtual networking can help. But the asyncronous nature of teleworking can complicate virtual networking. I would be prudent to ensure some form of standardized grouping for the good of effective supervison.
What else does your internal auditing consist of? Just a review of files?
Why so often?
Thanks for bringing this up Holly! Shared drives can be wonderful resources when organized well. They are a great source of policy, process and templates built by others that we can repurpose. For instructors who have never taken a tour of their shared drives, I encourage you to take a look. You may very well find some gems.

Our E/M auditing office has all of our files and folders on the S drive. The S drive is shared with all of the staff. Our managers check files and folders regularly. We can also access peers files and folders to make sure we are not duplicating work.
I believe in internal auditing at least every 3 months to ensure that the files are kept up. Weekly all of the prgram dirctors takes sevreal files and audits them in order to make sure that the student files in are in order. Yes it is true, we will keep a blind eye to the disorganzation of the records until the day they are audited and then we panic and everyone gets crazy. A little internal housekeeping can releave stress in the future.
