I currently have the school catalog, enrollment agreement, marketing materials and our advertisement. I've also created a section for "frequently asked questions" to familiarize myself with the most common questions prospects ask and to preemptively answer some of the more common questions for our applicants.
One of the items we've placed in our Resource Notebook is our enrollment agreement. Indeed it is an important legal binding agreement in between the client and I.
A good recommendation I was able to take from this training is that any additional information regarding policies such as, student manuals, internship manuals, etc.
Dear Michael,
Sounds like you are off to a great start. I would suggest you keep a current copy of your school catalog and frequently asked questions handy. The document you need as well is the entire chapter of 6E. These rules explain the statutes and give you a thorough knowledge that will prepare you not only for your students but also for your license renewal.
So far I have placed three things in the resource book: The Florida statues about fair consumer practices, patient safety instructions and Rule 6E about the definition of agents. I am open to more and welcome your advice!
I have learned first how regulated this activity is and am attempting to find out what specific information I need as there is so much as to be overwhelming. We are reparing for our license renewsal and I will be part of that process and thus deal with compliance as in having all of the student information on file and accurate and that our records are consistent with regard to the regulations and the actual practice os the school. Again I welcome your input on specific things I need to be aware of and regulations I need to keep on file.
Thanks for your request, Michael
Marc, your list of resource material is very comprehensive and will serve you well. Being licensed by the state is consumer protection for the students. Licensing assures that representatives have had the proper background check and legitimately represent the institution. All good things!
1. Institution catalog
2. Enrollment Agreement
3. marketing materials
4. Student manuals
5. Jewelry guide by the federal trade commission
6. financial aid policies
7. operating procedures for working with the VA
8. operating procedures for working with VR
9. organizational chart
10.Florida statutes and rules
I didn't know about the licensing requirements for the Agents.
Annette, your ideas are well-focused on serving your clientele with accurate information as well as a contact list for more information. Outstanding!
In adittion to the outlined in this course, I placed in my resource notebook information regarding the different admissions applications like the admission of veterans, admission of foreign students and early admission. Also, I get a Contact List with names, phone numbers and emails of people in the "Key Offices" that works together with the admission process like the Registration Office and the Financial Aid Office.
Certainly, I will look up to keep my resource notebook up to date.
Scott, excellent idea and many students do not understand the difference between regional and national accreditation. They are not the same!
Scott, the catalog of your institution is your key source. Students must be able to handle the major functions of the program to which they are enrolling. Students with disabilities may file for ADA (Americans with Disabilities Act) reasonable accommodations. This they must do on their own accord with the proper medical documentation. Most common are those with reading or hearing impairments. Schools must be compliant with Federal Regulations regarding discrimination and this is covered in the catalog.
I have placed information on our school and the degree programs we offer, including admissions requirements, application fee, tuition, as well as information on our accredidation..
Additionally, I have specific information on regional vs. national accredidation, and some information on the different types of career options available to persons with a bachelor of science degree in business administration.
In my resource notebook, I have an outstanding question regarding respoding to, and appropriately handling, persons with disabilities who wish to apply and enroll into a regionally accredited degree program.
I am still seeking solid information on the laws governing enrollment of special needs students, specifically behaviorally and developmentally disabled.
So far I have everything printable in my notebook. I'm the first person to take this course at the school as my position as a field rep is new. I want to have a complete guide so that the staff members not required to take this course can still read the information. This will only make us stronger and more informed.
I'm actually a graduate of the school that I work for so, not much is new to me. One thing I did learn is that anyone 24 years old or younger needs to have a parent involved with the admission process. I did not know this applied to anyone 18 or over. Kind of thought once you were considered an "adult" you could do this on your own.
I've placed better much everything. re: Florida Chapter 6 E Rules, 1005 and every note possible. I rather be safe than sorry later. I always felt that in this case having too much information is better than not having enough resources to refer to.
I've been in the industry for almost 6 years. I wasn't surprised by the rules and regulations; as a matter of fact I abide by them on a daily basis.

In my resource book, I have included the following information; florida statues and the florida administrative code as it relates to the CIE, Agents, and Post Secondary Institutions;some of the institution tuition and financial aid information; the financial aid policies and procedures as they relate to both the federal government and our institution; the institution catalog policy and procedures; the enrollment agreement; copies of ads and marketing materials; and a current catalog.
The Resourse Notebook is a very useful tool since much of our materials are online or on CDs; and has help me understand what is it that we have to do to help our students.
So far in my resource notebook I have placed my institutions enrollment agreement, copy of state regulations and statutes, and marketing campaigns.
I did not know prior to having this resource notebook how crucial it was to monitor these processes and procedures as agents and university staff.
"The hardest part about the notebook is keeping it current. Laws change and internal policies change frequently. We conduct a formal review of the notebook and policies on an annual basis to ensure that information is relevant and up to date."
This is true Steven. That's a great idea to do an annual review to ensure the information is up to date. Excellent idea.
I just started putting together my resource notebook. So far I have placed the following:
1. Florida 2009 Florida Statutes- Chapter 1005
2. The Commission For Independent Education Packet.
3. Copy of my institutions Course Catalog/ Policies and Procedures.
4. Copy of individual Program Enrollment Agreements.
5. Placement Policy
6. Copies of Marketing Materials
7. Organization Chart
I did not know about resource notebooks prior to taking this course. I like the idea of keeping a resource notebook to make all this information easily accessible.
I've placed Florida Statutes Chapter 1005, CIE rules, Institution's Catalog, Enroll agreement, and advertisement material.
Like many of the other course takers, our institution does not have agents per se who meet with students at locations other than our campus. I reviewed our admissions training material for our admissions represenatives and noticed that it does not include going over the enrollment agreement or the catalog so I will already have one enhancement request to put forward.
What would it take to regear this course to onsite admissions representatives- so much of the compliance, such as not misrepresenting, pertains to both on site represenatives as well as outside agents?
Oh and thank you very much for the links to the Florida rules and statutes! I've been meaning tp print them out for myself and have finally done so.
