I have started my notebook and I am amazed on how much pertinent information that I was able to access. I look forward to having this notebook very close to me in my office.

Don't forget the regulatory side of your notebook with the CIE rules and statutes as well as any accreditation information.

I have copies of our School catalog, training phases, enrollment agreements with all current addendums, housing information, POc's for Financial Aid, and basic information for the loca area around the school in my resource notebook.

Continue to add additional documents such as CIE rules and statutes. Any advertising slicks that your institution uses is also very helpful. See what your client is seeing.

As you have stated, there is a progression which brings us to current day regulations. Regulations and rules have a history that for whatever reason they are there to protect. Adherence is a protective shield for all involved.

I have been blessed to have worked with a number of educational institutions and I have found a very wide assortment of, um, "interesting" policy decisions and guidelines.These were to be of help in seeing that the institution survived accreditation reviews and stayed in compliance with gov't agencies at various levels. Even though such arcane policies were often replaced with updates, when possible, I include such in my Resource Notebook in a kind of "Historical" section...a kind of paper trail which follows the recruitment and admissions policies "back in the day"...they offer a great deal of insight into the institution's growth and mission development. My institution is very self-aware and intentional in re recruitment and admission to appropriate programs and student learning contracts.

Having the materials at your fingertips is important. Keeping everything up-to-date will keep you fresh.

Everything! The CIE statues and rules. The catalog, student handbook, marketing materials, program descriptions....anything and everything pertaining to what I need to know.

Statutes
Our school catalog with the catalog addendum
Copy of the enrollment agreement
An organizational chart
An organizational contact list with some extra information about special items handled
Marketing materials

The resource notebook provides a quick reference for all the regulations and institutional policies. The State of Florida is a consumer protection agency and regulator. Keeping up with the standards is critical.

I downloaded and printed a complete copy of the Standards and have highlighted the information covered so far. The standards were very cumbersome when we were applying for licensure and now the duties and restrictions are becoming much more clear. School catalog, enrollment agreement, advertising flyer, organizational chart, staff handbook.

Each state has different requirements including the agents. The State of Florida requires each agent to complete a background check, training and secure a license to operate in the state.

The information that I have placed in the resource notebook is about where students can be recruited from. I did not know that some states do not require an agents license.

Another suggestion would be frequently asked questions from your clients. Many are the same but several can certainly assist your institution in creating their marketing and office procedures.
