Is it acceptable to keep a photo of the applicant in their file to remember who they are? With interviewing so many people, it is difficult to remember. If a picture is kept, is it legal to send a photo to a potential client as part of a placement service?

Social Security Number

Since we take the social security number as part of the enrollment, I would imagine it is imperative to have the folders locked up.

Out of State Recruitment

Can we have student representatives (intern) on non-Ohio college campuses help us distribute information about our post graduate program?

Knowing your product

Knowing your product is very important in this field. Everything changes almost on a daily basis so you have to be on top of it. This also helps so that you are able to explain to potential students any and all of the knowledge necessary to have to complete the program.

The enrollment process

I believe that all of the regulations protects the students. I think that this is best for the student, school, and agent. The industry is suffering right now and I believe it is because of the practices of past agents and schools. It is vital to have this processes in place to protect the industry in whole.

Out-of-state schools that recruit in Ohio

I think that this would be extremly difficult to regulate. So does this mean that all of the agents at "the nations largest private school" have Ohio agent permits. (everyone knows who I am talking about.) Does that also mean that their agents also have permits from other states as well? This just seems really hard to track.

Resource Notebook

With the links to all the resource websites, is that info channging daily or a few times a year. How often should you go back and review differnt links to keep up to date. If there are changes to any rules and regulations is there ever a notification to agents concerning new rules ever?

School Personal

Can school personal assit each other w/ there job responsibilites if needed. What areas could someone not assit if they were not an agent or certified thru the state of Ohio.

Free Enrollment

Where i work we are not title 4 funded and students can enroll or free. Are there alot of other schools that offer free enrollment? And do all title 4 schools require an enrollment fee?

A set process

In every admissions department there should be a step by step process for every single applicant. All of the paperwork should be organized and available to each rep to walk up and put a package together. The paperwork needs to be updated regularly for compliance. Checklist is an admissions representative’s best friend, it assures all of the steps and documents are completed and ready for the file. There really is no fast way to complete this process; it must be done diligently and with care. The entire college is at risk when files and admissions paperwork is not in line.

How to address a comparison to another school.

Obviously we are not to portray a negative light on any other school. However, I have found that there are some students who really want me to compare my school to another. I have always told them that I am only informed on my school and our programs, and proceeded by giving them facts about my school. Does anyone else come across this situation? How do you handle it?
