Through my institution I have learned the importance of our language and comments to avoid when speaking to a potential or active student. Some of the language to avoid are:
"students will learn how"
"[school name] prepares students to perform, complete or achieve."
"promise"
"salary" or "anticipated earnings"
"state-of-the-art equipment"
"newer/up-to date technology"
"guarantee"
"college"
"good, better, and best"
"example of how our programs compare"
"you will suceed"
"admissions committee will accept you" (or consider accepting you)
"highly or very selective"
"admissions contract"
"individual tutoring is available"
"percentage of lab time"
"little to no homework"
"all credits are transferable"
"free"
"taught by experts"
"[school name] is planning to offer a program in..."
"accomodate schedules"

Some of the terms and definitions that are commonly used are enrollment -registering a student to take programs or courses at an institution .Fair Consumer -The honest,accurate,and eqitable conduct of business and academic relations between institutions and their students or prospective students

Below are some of the terms and definitions used at our institution...

PROGRAM- a course or group of courses to attain knowledge and skills leading to a certificate or diploma.

ENROLLMENT AGREEMENT- a legal binding contract signed by the applicant and representative of the institution. The contract forms an agreement to the terms and disclosures and policies of the institution.

ENROLLMENT- registering a student to take a program or course to pay tuition and obligates the institution to provide instruction.

Program & Accreditation

Common terms used at my institution: Accreditation, advertising, Commission, enrollment, fair consumer practices, institution and marketing. Some of the definitions are the same but different names are used ex. enrollment agreement and my school its a letter of intent. The definition is similar.

Program: describing the course and the period of time and benfit of each one.

Rules: informing the students of the does and don't before even start the course.

We have a binder and it has the admissions guide but it never had a copy of the enrollment agreement in it. It's very important because it's the contract between student and school, very important.

At my institution we ask for permission to review student records [transcript request]. Defination of transcript is, final transcript must include date of graduation, diploma type, ACT or SAT, IEP, GED scores, and immunization records.

I think that defining all terms is important, not just to understand their meaning, but also to have understanding of their legal binding aurthority. Students and faculty need to know that these are not just "made up" documents but serve specific needs and requirements for the program.

I have started a Resource Notebook and will be updating it as new items come up that need to be updated!

We have not yet opened our new Institution. Our core team has been hired, and we are currently working at home and online. As well as each of us obtaining FAPSC Certification, we will begin targeting the right areas and avenues for advertising, research marketing strategies, etc.

I am one of only four employees including our Director, and not an Admissions Representative myself. (I am to be an Instructor.) I have only just learned about terms and definitions in the admissions process, and will be meeting again with our team to solidify these terms and definitions as they apply to us, in conjunction with what is to be our mission..

Based on training and all information gathered throughout the training creating a resource as stated , is of great valuable. That resource can be used to keep up to date with current regulations and compliance laws.

Some terms commonly used here at our institution: instead of enrollment agreement we use the term contract or contracting. Also instead of the term enrollment we use the term tour to app which means the potential student has already toured our school and is starting the registration process.

Of the list of provided definitions, Accreditation and Enrollment Agreement are greatly emphasized in our recruitment schedule.
Accreditation cannot be emphasized enough. At a federal or regional level accreditation drives and ensures an institution’s quality of instruction as well as its programming; it provides a recognizable standard for the consumer; and it grants accessibility to Federal Student Aid.
Prior to the processing of student aid and the attendance of classes students must be accepted to the institution and given the proper disclosure forms. This includes the course catalog and enrollment agreements. This is important as students should have an understanding of the expectations of the program, its cost, and any institutional features that empower the student to reach their goals.

Prospect/ Lead- someone who calls or emails looking for information on our school (1st time inquiry).

Student- prospect becomes a students once we receive a signed copy of the Enrollment Agreement, their education verification for the C.I.E.& voucher/ check for payment of course.

Enrollment Proposal- Document the prospect receives (via email,fax or in-person) for their Case Managers to process their clients into school. it provides the course cost, clock hours, any certifications involved andprovides a schedule of courses within a program.

No Pell- our letter to provided to the prospect for their Case Managers so they are aware we do not accept the Pell.

I've found that creating the Resource Notebook has been extremely helpful for keeping track of the rules and regulations I need to keep up with for my instutition. Some additional things I have added are different policies of my institution that I have highlighted as particularily relevant that I will use on an almost daily basis in my position. I have also added to my Resources Notebook the program overviews for the schools at my institution. I find that it is easier for me to keep my facts straight when I don't have to hunt through the website when I have a thought or question about one of the programs. The Notebook is a great idea!
