Electronic Storage

Can the Enrollment Agreement and other admissions paperwork be stored electronically or is a physical paper copy onsite required?

Thanks in advance for your assistance.

GETA,

We keep ours on the shared drive with a backup in an alternate drive. This gives the flexibility of many people being able to access the files but also have a backup in case someone deletes it.

Electronic Storage is very appealing and seems more efficient especially in a technology driven world. However, your view would be greatly appreciated on having a hybrid i.e. a blend of both. Hard copies are always a credible point of reference but often times if the file moves from one area to the other their is the chance that human documents can become misplaced. What is the best method of electronic storage?

Thanks in advance.

GETA MAE

Dana,

There are requirements for keeping of records. The records must be available or viewing by the Commission if you have them electronically, you should also have a solid backup.

So, you are saying that if records are being maintained electronically, there is no requirement to have paper copies?

Anthony,

The Commission does respect electronic file storage. It must be readily available during school audits or site visits.
