Organization
I am that OCD nut who loves to organize paperwork. File folders and labels can be your best friend.
Just make sure you have a clean desk every morning when you start the day, and you'll know exactly where everything is, that's my rule of thumb.
Also, I always keep track of ingoing and outgoing paper items. In an Admissions setting, there's several items that can be flying in and out of your office through out the day (from inquiries, to applications, to visit sheets, HS visit reports, the list goes on and on). Just take the time to dedicate your files accordingly.
I 100% agree. I don't think that you can do this job without a degree of organization. I am also an OCD nut so I love that aspect of my job. My director picks on me and says that sometimes I am too organized. But I think it makes me a better admissions representative in the long run. I never have to search for anything, and everything I use everyday in my interviews is within reach. Therefore when I talk to a student, there are no lengthy pauses, or stalling as I look for an answer.
Everything I do is carefully organized. I actually work off of 3 different calendars. I have a file and sticker notes for everything that is important. I have found that the key to job success is proper organization. The school's main fuctionality could not exist without organization. This is critical to the admissions process and my job as a CRS at my school.
Organization becomes even more important when working at an online school or with military people who are miles and miles away. It is important to have everything at your fingertips.
Having different files that are organized helps you be more profient and helps keep track of applicants.
I find it is very helpful to be extremely organized with this position. I have several organized files and a very organized desk. It helps me to be prepared for the students as well as look prepared.
I was just going to express that thought, when I read your post. I believe it looks unprofessional if you are running in and out of your office to grab paperwork. Might appear to the student that you (and possibly the school) are unorganized.

As a new representative I have already quickly learned that organization is key. There are so many important documents that must be presented in a specific order! And I completely agree, if you have a potential student in your office and you are looking around for the right forms it can truly be a turn off! Imagine what they are thinking!
I would imagine that having to leave the interview process to continously go and find important documents would leave the student second guessing the choice he just made. Organization is key!
Organization is key in being effective in your position as a admissions rep. It really bothers me and others when I can't find paperwork or anything that is important. If you have a student in your office and you misplaced their paperwork they will not feel valued.
I have kind of a unique role at my school as the person who manages documentation. Completeness and accuracy are key. We use a double check system to ensure this happens. I use checklists and the computer system to document incoming files on the front end and our registrar regularly audits our files internally on the back end for a second pair of eyes to ensure we have all the necessary documentation.
