Patty, I think it is a great idea to have a personal resource notebook for quick reference. So far, I have included in my notebook the Florida Administrative Code Commission Rules, the commonly used words and terms, the history of our institution, information about our programs, tuition and tools and fees, career services rules and regulations, enrollment agreement, marketing plans, institutional policies and procedures manuals, employee handbook, student handbook, organization chart, graduates jobs, and Title IV funding rules.
Patty, I must say I have never asked about our marketing plan because it seemed to be a national plan more than a local plan. Now that I am researching this information, I can better understand the targeted market and cross reference applicants to increase our exposure in specific local area via our high school representative.
I am just now putting my resource notebook together, what a great idea, I have been in this industry for 9 years and have always had what I refered to as an Operations Book, however it never had regulatory or compliance information, My Operations Book had tuition break downs, start dates, example enrollment agreements, etc.. Would you recommend that I keep a separate resource book, or would it be acceptable to combine the two?

1) Catalog - A booklet that is updated every academic year and given to prospective and active students, which include pertinent information such as the mission and history of the school, conduct policies and expectation, admissions requirements, curricula, academic calendar, and more.
2) Application - The document that a prospective student fills out and signs, declaring their pursuit of education at our school.
3) Student Finance - The department that sits with the student after he/she applies to explain the financial aid process, answer questions, and walk the student through the financial aid application.
After completing this course I added a lot of information to my notebook. I will be adding notes I have on the different departments.

I have always built "resource notebooks" in all of the positions that I have held. I think it is a throw-back to my time in the Marine Corps, which was before the advent of the internet. For my most recent position, I have included the school's catalog, fliers about specific programs, and forms that are relevant to the enrollment process.
I often find myself using the resource book while discussing the programs with prospective students. The students at my current school are visual and creative in nature. Having a multi-modal presentation helps them grasp the nuance of the particulars. We also have a very diverse demographic in our area and a visual description of programs helps bridge any gaps in understanding that may result from linguistic barriers.
The largest gap in my knowledge is in the fact that my school does clock-hour programs. The interface of clock-hour programs and the financial aid process is different than the term/semester hour programs that I am used to.
