In the Enrollment Management department at my institution I had created a training guide and process manual. When learning about this resource notebook it made me turn to this policy guide and realized that they are very similar. In my guide I had included a copy of both the student and faculty handbook so staff can be ready to answer all policy questions to prospective students. Along with the regulatory handbooks also there is a packet that outlines the student prospect process and at each step what to ask of the student whether they are using military benefits, corporate benefits, and all other needed information in order to enroll them in to the proper programs. A resource notebook is a must in this department, it is always on my desk and I refer to it daily to ensure proper enrollment.

The resource book is a great tool. you can always go back to it .

The terms and definitions commonly used during admission process at my institution are:

One of the terms that you will hear our Admission Associates talking about A LOT is our Career Services. It is a aspect of our school that is used by the majority of students. That along with constantly talking about the students goals and how we help them reach their goals has definitely allowed us to be successful.

I actually have always created a resource book for any place I have worked at so I had already started one for here as well. So far, in my resource book here, I have included a copy of the school catalog, a list of all employees inclding their job title and contact information, a list of all of our programs with the most up to date tuition prices, any notes that I took during training, phone and appointment policies implemented by my school, descriptions of all of our programs as well as the specific courses, terminologies the school uses, a list of all start dates and holidays, and a master copy of all forms we use. I add to it all the time as new materials/rules/regulations arise.

I actually did not realize that admissions staff members were required to do continuing education courses. It makes 100% sense to me, as the EA is a legal and binding agreement that can have a huge impact on a student's life and all parties involved in signing it need to have a full understanding of everything in it.

On-ground versus online enrollment.

Some of the commonly used terms and definitions at my institution are as follows:
1) Enrollment agreement - a legally binding contract that is signed by applicants to licensed institutions as well as by authorized personnel at the institution.
2) Institution - Any college, university, or post secondary career institution under the jurisdiction of the Commission as provided in Chapter 1005, F.S.
3) Regulations - The rules that the institution must live by to retain its licensure approval.

I was very pleased to hear about the Resource Notebook. I've used a similar method in the past to stay up to date. I have recently included advertising ads to my Notebook, and found that by tracking the ads I was reminded of past events we should continue.

Marketing is one of the biggest terms because it is what brings potential students into the doors. With marketing you have advertising online, which to me is the biggest form of marketing these days. Whether you have a banner or post cycling on a company's website such as google. Usually, unless by word of mouth, if someone can't find your website within the first 10 or so on a search engine than they will move on.

The annual security report is required by rule and must be provided to the public.

It is required by rule to provide the annual security report to the Commission and to the public at large.

The Annual Security Report includes the Crime Statistics table. These are made available to prospective students on the Institution's website.

Our institution sends an email notice to all students, faculty and staff that the Annual Security Report is available. The message includes a brief description of the report's content and links to document available on the website. The email message also provides the phone and extension to call in order to request a paper copy.
