We also use a checklist, we have a database where we input all of the information and we check off all of the documents, once the file is complete we send it to the registrar office for a second audit.
i am prinking each area of the training as we go along. Once complete I will organize like paperwork and information
Having a checklist is beneficial, to all student facing staff. It is a good practice to ensure all rules, and regulations are up to date and properly executed.
For an enrollment we have a coordinator who has pre made folders for us that include all of the paperwork needed for each program. We also have a checklist in the folder and can mark off each form as completed. Our Coordinator will also review a file before a student leaves to make sure we have completed everything properly.
We have a checklist to follow, ensuring we will not forget any important and or required information. We then have a team of reviewers overlook the documents, to prevent any unnecessary errors.
We also use folders that are divided into four sections, with a checklist for each section. We then have a team of reviewers double check to make sure each file has the required paperwork. We feel this prevents any unnecessary mistakes.
Currently we scan all important documents in a system that allows the Academics, enrollment and finance to review to assist the student. this allow us to have a paperless system for compliance reasons.
Organizing paperwork is crutial when dealing with various programs and student. Having a checklist and related information prior to a meeting with a student will enable you to have a good prepare meeting. Making you look as an expert!
