Nathan,
Sounds as though you have a great process in place whereas each step is documented and the prospective student is well aware of their paperwork along with contact information. Great job!
Our university, like many others, uses an electronic database to store all student records and paperwork. Being a global university, all admissions, student consultations, and registrations are completed virtually.
The key to successful student flow for us is accomplished by use of an admissions checklist, including specific notes for each step along the way. This way is all paperwork is completed in a timely fashion, and the applicant (and admissions staff) know who to contact at each point in the process, should they have any questions.
Thank you, Patty. After getting off to a very slow start with enrollment, we hope to apply for a permanent license before the end of our second provisional year. This course helped with identifying the requirements and compliance.
Karen,
Having your provisional licensure application electronically will assist you next year as you apply for annual license. Good luck on your provisional year as it sounds as if you are well prepared.
It was my responsibility to prepare and organize all of the paperwork for licensing and my only thought throughout the process was "I'm so happy I did not have to do this on a typewriter with carbon paper!".
I have duplicates of some of the paperwork which pertains to more than one area of our school so I have access in more than one file. Our licensing master file is printed as well as being stored electronically. We were told to submit the files with colored paper dividers which seems to work well. Index tabs in my resource notebook are a real timesaver and keeping the information needed most often at the front.
Lynn,
It is important to stay organized and up-to-date. Your resource binder is a living document.
I organize all the paperwork by having it in a folder sectioned off. Each section is a step in the enrollment process
Greg,
Also, clients like to see it in writing. Having the information close by can assist them as well.
By compliance and in a method that allows me to have instant accsess to what I need at a flip of a page. It is great to have at hand information that i need to effectively assist potential students or students.
Amos,
This is good to hear. There may be other resources that you will want to add depending upon your client base.
Benjamin,
Outlook does have an excellent tool to find what you need when you need it.
Donna,
How does your institution deal with signatures required and copies of documents to the student?
Donna,
Providing the tabs keeps from having to search when you need it quickly.
Jennifer,
Links to your websites is a great tool to provide you quick access when you need it.
I will print out the material needed and keep the information updated as needed. The suggestions in this tutorial are very helpful
I have created the resource manual/binder for myself. I also have an email folder in outlook to hold all my compliance/regulatory informational updates.
Thankfuly my intutuions process all applicaitons electronically. Therefore, the order is established by the systems and so are the required forms.
After helping students with these forms so many times i have practically recognized the order and the required fomrs if paper applications were ever needed.
I put them into categories and placed a divider between each category with tabs so I am able to access each one as needed
As suggested I have printed out the pertinent information and created a binder with tabs for quick reference. In addition, I have saved many of the links to my favorites for easy access. I also, have added to outlook to check the CIE for monthly news and any updates.
Josue,
Having the materials available in both formats provdes you the best of both worlds.
