Christina,
Checklists are a compliance favorite! You can never have too many reviews.
Barbara,
Very effective process to ensure compliance.
Joseph,
Being organized is the best way to stay focused and remain compliant.
This is an excellent idea, currently our school doesn't follow this practice, but I'm going to reccomend it. Thank you
This is great! I will be implementing this at our school.
Our school jhas a new enrollment checklist to make sure that we have all the information required in the enrollment file. Then the enrollment itself is passed on to an enrollment coordinator which revises the file for a second time.
We begin our process from the very first point of contact with a prospective student form to be completed by the admissions coordinator. We schedule the prospective student to come on site for a one on one, at that point we begin the enrollment process with a cover check off sheet. We go right down the list and as each section is complete the information goes into the appropriate section of the students folder. It is an excellent way to stay organized and the process is completed in a timely manner to enable the student to begin on their scheduled start date!
totally agree, we do the same at our school
Same with all other institutes , we use check list to organize our documents and will review by the second staff before submit to the admission department for final review .
in our college we also use a check list in each student file , that is how we make sure that all the information is complete before submitted to our admission director for review. it is very functional and organized way to do things
I have it in a book under tabs for menu page, infomation on school, facalities, catalog and rules and regulations to each subject, requirements for class and what to expect out of each. Continuing ed requirements and help for each. List of all forms. I am still working on book to finalize
Our school use checklist outline the document require each section in the three whole binder . And file used to required audit by the other staff to ensure each file have all of the required paperwork from the students
I have found that being involved in such a busy environment- that if you do not make an attempt every hour to reorganize- you can get lost very easily. I make sure that I get to the office early each day to prepare for the day ahead. This includes finding out any updates that I need to know and organizing any admissions material before I start my day.
We have quite a few different programs at our school. I keep everything organized in file folders per program. There is a base set of information that is true for all programs, but also several different enrollment procedures depending on the program the student is accepted for. It can be hard to keep up, but imperative.
With so many documents and regulations constantly changing, it can be a headache to keep everything up to date and organized. Our institution offers 4 different diploma programs all with different admissions documents needed. We have a master checklist now that helps keep everything organized and procedures in place.
We use an admissions checklist in each of our enrollment packets. This is continually updated when any changes to the admissions process is made or when program requirements are added. It is checked over by several people in our department.
In our enrollment packets- we have a checklist sheet that is very detailed to ensure that we are following every procedure and obtain every document needed for enrollment. There are easy things to miss sometimes, so this is important. Our paperwork is always double checked by someone (such as the director) to make sure we have everything we need.
I am extremely organized… I guess I am a control freak and like to have everything at my finger tips. Our company has a very good system to keep track of all our students’ documents; but I thought that it was a good idea about the notebook checklist and added more important documents into my folder with all the definitions, rules and laws, FL statutes; etc…
Kenya,
Thank you for sharing what works for you!
Joseph,
Thank goodness for electronic files!I can't imagine dealing with 50 states without it.
