Managing Consumer Disclosures
Our campus insure that all students receive disclosures through providing them with a document that they sign listing eac disclosure.
What procedures does your institution have in place to ensure that students and prospective students receive the currently required disclosures? Do you feel the students read and understand the disclosures they are presented with?
This is a good example of separation of duties in addition to addressing the need for consumer disclosures. A good cross-check for a key area of regulatory scrutiny!
I totally agree with your statement. It is great to have the information dissemenated to the students early in the process but it would be nice to verify so there are not as many questions in the long run.
There are also several people that review these documents and the final approval is determined by administrator other than admissions.
This process is handled by our admissions department. The student will then sign that they have recieved the proper disclosures.
We have brochures and paphlets in place that we give out to each prospective student where they are able to review and make an informed decision on attending school based off the statistics and costs of each available program.
Prospective students are given DISCLOSURE REQUIREMENTS, usally by the Admissions Representatives.New Admissions Representatives, have to take a 2 weeks of EXTENSIVE TRAINING
During this time of trainimg we learn why comliance is so important, Compliance covers many areas of training, ie: Phone Scripts, One On One training from the DOA.Watching training video, which is helpfull to visuale learners.Taking tours of the classrooms, and a finale assesment is taken of the new Admissions Representative.
A new student whom is requiring information on our school must be given the correct answers.An Admissions Representative or even another departement member, MUST STAY WITHIN COMPLIANCE ON CORRECT INFORMATIIN GIVEN !!
There are many areas Admissions Representatives have to know entirely , before we start making that first phone call.
One very important subject that we study is "disclosure requirements", why, as of late, many schools misrepresent future students with incorrect information as to WHY YOU HAVE TO ENROLL INTO OUR SCHOOL ! this will lead to severe implications to the school, so much so a school can be shut down if a student is given incorrect information. No matter how the required information may seem unfavorable , we are making two important errors, 1. an enrollment is not worth having a school shut down
2. Giving a student incorrect information ie " I PROMISE YOU WILL GET A JOB RIGHT AWAY AFTER GRADUATING, AND YOU WILL BE EARNING $XX,XX AMOUNT OF MONEY! IS NOT GIVING FUTURE STUDENTS COMPULSARY DISCLOSURE REQUIREMENTS.
Thru training in all areas we ensure that New Employees know EVERYTHING before that fist phone call can be made !

Our Admissions department understands the disclosures in detail and provide every new student with a copy of the disclosure they ( the student) signs.
We have students sign a form stating that they have recieved X document. If we look and the file and the signiture is missing we promptly hot slip them to go over the documents.
Prospective students are given all required disclosure information during their in-depth interview process. Everything is tracked with paper and signatures. Current students are also updated with new disclosure information through the admissions department or their program directors.
We hand out a consumer booklet and a dept of ed booklet to very student that just comes in to see us.
OUR REPRESENTATIVES HAVE A DETAILED CHECKLIST AND AN ENROLLMENT PACKET WITH ALL THE NECESSARY FORMS ENCLOSED. THIS ENSURES THAT STUDENTS ARE RECEIVING THE INFORMATION THEY ARE REQUIRED TO HAVE PRIOR TO ENROLLMENT.BEFORE AN ENROLLMENT PACKET GOES TO THE REGISTRAR, IT IS CHECKED BY THE RECEPTIONIST OR ADMISSIONS COORDINATOR AND ONE OTHER ADMINISTRATIVE ASSISTANT TO CATCH ANY MISSING DOCUMENTS OR DISCLOSURES. WHEN WE HAVE A PROSPECTIVE STUDENT THEY ARE ALWAYS GIVEN THE MOST CURRENT ADDENDUM WHEN THEY ARE GIVEN A CATALOG.
Alfred - I think your process sounds good. Repetition is useful to reinforce understanding and awareness of such information.
I agree and I believe this is why we have a final acceptance meeting with all new students and then before class begins, all students attend a new student orientation as well. The students should have been informed of important information at least 3-4 times before they ever start class.
We give all prospective students a school catalog and we also have a check list of required forms that need to be signed and dated for when a student enrolls for school. We have to include the check list and required forms in their enrollment file.
We have two state forms (TWC PS-005, PS-010) specifically to inform students of placement rates, graduate rates, salaries, certifications required to work in their field if any, transfer of credits and other specific catalog information. Student signatures are required for receipt.These are in addition to numerous company forms designed for the admissions and FA processes.
We all use the notebook with SPFS, Catalog and Addendum to disclose this information to students.
I agree, and I feel they're some departments that need to handle certain situations with our students and not give to front desk.
