We commonly go over a number of disclosures such as a consumer information disclosure, FERPA disclosure, as well as others which does include the enrollment agreement. We also discuss title IV funding, as well as accreditation and what that means.
I have Maintain a copy of the Terms and Definitions, Statutes & Rules, Always have the Catalog Handy, EA, all Disclosures, and we also have specific program slicks (Individual program info), Its good to once an while take a few minutes and review a part of this information,so we can maintain fresh in our head.
Definitely will help out a lot to be knowledgeable about the rules and regulation and to assist the students and guide them correctly.
I have copies of all printed materials used by our school; enrollment agreement, application, school brochure, forms use to maintain student records, press releases, flyers, print ads, etc.(everything we have in print). I also have copy of the CIE rules and regulation ALL in a binder.
I learned that the rules and regulations are put in place for the schools protection as well as the students and they should be followed to the letter. You are either in compliance or your not.
We use the following terms where I work:
Enrollment Agreement-A legally binding contract between the school and the student that contains conditions and disclosures
Program-a prescriped sequence of courses that will lead to a degree or certificate
Scholarship-grant-in-aid to student. It helps a student pay for college if they are elligible
Title IV-federally allocated funds for postsecondary education
I do have a resource notebook started. I have all you suggest except the organizational chart. we have a small staff, but we should know which hat each wears.
Accreditation - Accrediting agencies provide volunteer membership for institutions and act as "gatekeeper" for federal funding program participation if they are approved and recognized by the US Department of Education. Accrediting agencies are classified generally as national, regional, or programmatic.
Enrollment Agreement - A legally binding contract that is signed by applicants that provides the agreement to terms of enrollment and provides disclosures which inform consumers of important policies of the institution, which their signature indicates acknowledgement of.
Program - A prescribed group of courses, taken in the proper sequence to attain mastery of a body of knowledge or set of skills, and leading to a certificate, diploma, or degree.
Kelly, I have to agree. My resources book is my "go to" when I need assistance while speaking with my students. The more organized I keep my book the easier it is for me to reply and sound confident in a timely fashion. It is the first thing that I pull out my draw in the morning and the last thing that I put away in the evening.
I did not know all the agents of the school are required to pass a criminal investigation background
I have placed information regarding compliance procedures in my resource notebook, also terms and definitions. It is easy to be complacent when one has years of experience in admissions, but by keeping abreast of the latest updates, you can see how our industry is evolving and becoming more transparent. This is a good thing, and protects not only our customers, but compliant admissions pesonnel too.
I have included a copy of my Quiz, Terms and Definitions as well as the Index and over view of Amissions Staff Training Program. Found it intresting and exciting that there as so many resouces to keep current with our Industries rules regulations.
The information that has been placed in the resource notebook includes information from this course. This information provides a great framework for understanding my role in admissions. Additionally, I have marketing pieces that our team uses to get the word out about our programs. Finally, I have organizational contact information. I am most surprised that our institution has to participate in this training since we are not a for-profit school. However, this information is good to have and know so that as an institution, we are fully compliant.
Good afternoon,
This is my first time working in admissions, and thus far I have learned so much. I had actually started my own resource notebook, without knowing that it is recommended to do so. My notebook consist of a student requirements, a blank enrollment agreement, the schools accreditation and licensure information. I will be adding the terms and definitions list to it.
This is true. If a student don't attend school the fund need to be return back to Title. IV.
We in Workforce SOlutions which is outside sales are not required to have a resource notebook per say.
Jessica,
Thank you for sharing your addition to your notebook. Great ideas can be found on the forums.

Carole,
Rule changes can happen anytime during the year. Make sure to check out the Commission's website for notification of upcoming changes.

Sandra,
Both formats bring their own advantages and disadvantages. Just make sure that both resources are current.

Elizabeth ,
Excellent! You have bridged the gap between regulations and your school's policies.

Cherry,
Our notebooks need to be user friendly! Since we build it ourselves, we have the opportunity to make it our own.
