Robert,
The catalog is our guiding document for all operations in the school. The catalog along with the enrollment agreement constitutes the contract with the student.

Some of terms and definition commonly used during the admissions process at my institution are:
Orientation & Enrollment Agreement.
For instance,In our institution’s enrollment agreement, indicate where each numbered minimum requirement is located, by writing and circling the corresponding “Item No.†on the applicable enrollment agreement page. It is the contract between the student and the institution and it provides terms, conditions of the school, its tuitions or course fee.

My institution does not have any admissions staff or agents, we offer such a specialized degree that there has never been any need to recruit prospective students. We have always had students applying as our school is known as only one of two in the nation that offer such a degree. Also we are a small school with a limited size for each semester's class of less than twenty students. For all those reasons we have never needed such personnel. The CIE has licensed us for years and years and years without any. On our most recent application it was noted that admissions staff or agents make take this course. We told them there are none employed here. They approved the license, but afterwards still told us that admissions staff and agents must take the course. I am neither admissions staff nor an agent but a member of the faculty. As the CIE keeps insisting somebody at our institution must take this course I am doing so, but none of it actually applies to anything I do in my job. Do I really need this notebook of hundreds and hundreds of pages I will never use? May I just discuss this notebook theoretically for the purposes of this course, so that I can understand all the requirements for the purposes of the Commission?
I wrote down & highlighted everything you suggest to put together my notebook. I want to be as prepared as possible to answer potential students' questions and I want to be sure I am following all the rules to do things correctly. I am brand new to this industry and am learning something new everyday. Thank you!
Some of the terms and definitions commonly used during the admissions process at my institution are enrollment agreement, programs, program tracks, and attendance policy agreement.
In my resource notebook I have placed a copy of our school catalog that contains all the information about our history, courses offered, facility information ect. I have also placed a copy of all the rules and regulations that were given for this course in order to always look back unto past information just in case I need to refresh. In addition, I have put a small informational section about student services and a web about financial aid and what we can offer at our institution. As a new admissions counselor, all the rules and regulation were new to me so I am very happy to be learning more and more about this course.
Hi Patty!
Some of the definitions commonly used at my institution are;

Class Schedule
Cosumer Disclosures
Student Catalog
I would be lost without my Resource Notebook! Organization is the key, and having one location for all of my resources has been my saving grace. I keep every pertinent item in the notebook with dividers labeled accordingly. This benefits me, my staff and the prospective student.
The catalog is the most important instrument we use for maintaining consistency at our organization. It is readily available and has most of the updated info that we need.
I have learned that things aren't always to catch with the eye. It is important to read the fine line details and ensure that you understand them espeically before having to explain them to someone else. Some information i thought i didn't know has been right in front of me and now i can use it to better help my students. I didn't realize how important understanding the attendance policy was and now i realize especially with students who have so many things to juggle i must be able to describe this and ensure i can answer their questions.
shelley ,
For some reason, many prospective students confuse the term accreditation and licensure. They are two very different things. For example, accreditation is voluntary and licensure is mandatory.

I am creating my resource notebook for easy access to key information. The most enjoyable method I have used for gathering information on my campus has been to interview many key leaders and faculty on our campus. It has been wonderful to get to know the different personalities and backgrounds. It really helped me to understand the dynamics of the campus.
A few of the terms and definitions utilized by our institution are accreditation and enrollment agreement. Students know that they must sign an enrollment agreement prior to starting coursework at an institution, however, this is only one of many steps in the admisssions process. Also, a school's accreditation is typically a very important feature of each school because students want to know that their education has credibility, In other words, they want to know that their education will "mean something" to a future employer i.e the job market.

Sonise ,
The binders can be bulky especially when you add other agency information as well as accreditation information. Good advice!
