We enroll students from all 50 states and have campuses in eight states so, we have all required "paperwork" autmatically available electronically so we will know what each student needs.
Well of course every admission rep has their own style however; what works best for me is a checklist that I keep along with the students application so that way I know what Iam missing and what status my students are on.
This is the hardest part for me. I used to be totally organized and then we changed from paper to computer. I think I need to buy my own notebook so that I can once again keep things organized. I am going our today to buy one. besides the Florida Statutes, I believe in Also having a copy of the Catalog in it. By having this at your finger tips should your potential student ask a question out of the norm you have the catalog available to answer that question.
Chin-Wah,
Glad to hear you are learning from the posts. There are many good ideas.
Daphne,
Organization is essential when you are dealing with compliance.
I have created a checklist that I use for every applicant, however I was not keeping the checklist in the file. After reading all the responses, I will add them now to all files.
After each file is completed it get audited as well and then again on a regular basis.
i use a checklist to help organize all of the paperwork. The checklist helps me and my staff to stay organized and that we all are on the same page. I also use dividers and tabs to help organize all the different types of paperwork that may need to be separated or compiled together.
Koichi,
Checklists are a wonderful tool.
Lynn,
Make the notebook yours! Add additional materials that will help you.
I have put everything into a loose leaf folder and alphabetized it.
We use an admissions checklist sheet to organize forms.
The thought of a Resourse Book is a great idea. I too have prepared my own version of a "Resourse book" to organize all the paperwork we use in our Admissions department. This type of organization is both helpful and iffecient.
Yvonne,
Accessibility is very important. If you cannot get what you need when you need it, it is not serving you.
All of my paperwork is being kept in a folder that is easly accessable and informative.
Janet,
Excellent start! Continue to add additional material to assist you.
I print all of the material that is available to print and then have it in a 3-ring binder on my desk marked "admissions training". When I need it for a reference it is readily available.
Natacha,
Thank you for posting your process. You have a good double-check.
Jennifer,
Checklists are a great tool especially when several people are involved.
We also use a checklist. We have a checklist to make sure that the file is complete and all necessary documents have been received. In addition, prior to moving a student through the process we ask questions to make sure they truly meed our admissions requirements, such as completion of secondary education.
