In order to remain compliant and to maintain ethical standards, an example of some of the terms and definitions that are discussed include:
1. career planning consultation vs interview-the act of identifying the prospective student's needs and giving enough information to them so that they are able to make the decision that is right for them. It is not an interview because we are not judging them based on their past.
2 Admssions representative vs recruiter- the title we use is admissions representative because we have more of a facilitative approach to admissions. We do not "sell" to our prospective students.
Some of the terms used are accreditation which most people do not know the difference between National and Regional.
The definitions are very important for people to understand who do not work with the laws. They make a difference of doing something right or wrong.
The following items are currently in my resource notebook: Regulatory materials, student handbook, enrollment agreement, other reference materials specific to my institution like our student orientation PowerPoint and clinical competency list, a faculty and staff listing, organizational chart, and a note to refer to marketing materials (files saved electronically).
I knew that the institution was required to disclose required information to the student, but I did not know the minimum was one week prior to enrollment or collection of any tuition.
Phillip,
Please describe the program specifics. Is this the catalog description? Syllabi?
Program specifics along with the enrollment agreement
Linda,
An application for admission should not be the same as an enrollment agreement. Application means to apply where as enrollment agreement means to enter into a contract.
Attestations should always be followed up with the actual diploma or certificate. Auditors will want the real thing.
Application for Admission- this is what the student fills out as there enrollment agreement this is a legal and binding contract.
Attestation of High School Graduation with a Standard Diploma or receipt of GED, this is the form they sign attesting to having a high school diploma or GED
I like the idea of making a FAQ sheet for the Resource notebook...I think that would be really helpful!
Hello Patty. For my Resource Notebook I have gathered the rules and regulations from this lesson, the terms and definitions, my school's catalog and Enrollment Agreement, our marketing materials and organizational chart, and am working on getting placement info. The notebook will be a great tool in my continuing education as an Admissions Representative.
Eduardo,
Feel free to make the notebook work for you. Adding current advertising slicks, information on who to contact at the school, and even frequently asked questions can make a difference.
Dennis,
This is good news! We can never assume our clients know the lingo. Especially when entering into a contract, it is important to know what everything means so they can make informed decisions. Being on the same page is critical.
Hi Patty...today I started to create our Resource Notebook in which I have added the CH6E Rules, definitions of terminology, a copy of our institute catalog, a copy of our Enrollment Agreement, a copy of our marketing brochure, and a copy of our organizational structure. I've learned quite alot just within the first module, since I hadn't known about all the rules and regulations beforehand. I look forward to learning more about the admissions process and all that it involves!
As a dedicated I.T. school, the terms used in our admission process tend to be obscure acronyms and abreviations. We do cover all of the items listed, but perhaps not with the detail outlined here. This has been quite an eye opener... I'm very glad to take part!
I have the enrollment agreement, the catalog, the admission package, the manual procedure..
However I learned here regarding an organization chart that I included already.
Rules regarding marketing materials and strategies
In general with this module, I learned how important is to be up date my Resource Notebook
Eduardo,
The resource notebook can be a wonderful asset. Add to it to make it your own. Add copies of the ad slicks to see what your prospective students are looking at.
Creating a Resource Notebook make me more secure in my daily routine job.
I introduce the application for substantive change & minor modification, regarding change in our programs from clock hours to credit hours.
The catalog is another important document inside the resource notebook
The manual procedures too
Joshua,
It is important to add your institution's catalog, Florida Statutes and Rules, and any accreditation information.
I have the terms and definitions, orginzation chart, enrollment agreement and all of our most current advertising.
Albert,
Definitions are important as we want to make sure everyone is speaking or referring to the same thing. Keep up the good work!
