Absolutely! Often people confuse the terms programs and courses. Also, the enrollment agreement and the catalog constitute the contract.

I actually keep a binder, in the front pocket I keep the most updated catalog and a copy of an Enrollment Agreement. I just realized I need to have a section with the most current Advertisments(our school uses the local newspaper weekly).

I have updated our resource book with the 2011 updates of the CIE rules,latest Florida Statutes(Chapter 1005), present text of the Administrative code, 2011/2012 school catalogs, current advertising, student info sheets, enrollment forms, transcript request forms, Agent provisions 6E-2.010, organizational structure, useful websites for updating rules and law.I've also discovered that an admissions Agent does admissions work at locations other than our school.

Some of the the terms we utilize at my institution are Letter of agreement, Evidence of funds, and FAFSA. The Letter of agreement is defined as a contract between the student and our institution agreeing to provide training in exchange for payment. The Evidence of funds statement is defined document identifying a source of funds that the student will have access to in order to complete his or her training. Lastly FAFSA, which stands for Free Application for Federal Student Aid.

Enrollment Agreement- A legally binding contract this is signed by applicants to licensed instututions as well as by authorized personnel at the institution. This contract forms the agreement to terms or enrollment and provides disclosures which inform consumers of important policies of the institution, which their signature indicates acknowledgement of.

Program- A prescribed group of courses, taken in the proper sequence to attain mastery of a body of knowledge or set of skills, and leading to a certificate, diploma, or degree.

Start date, Program, Regulations, acredidation

We do not use agents so that is not a used term. The role of those in admissions is to provide guidance to current and prospective students. We encourage discussions regarding where they are now, where they want to go, goals, etc. Of course, the most popular item requested would be our Course Catalog which provides students with information to answer their initial questions. We also don't really "advertise" so much as we "market" the program in our newsletters, etc.

There are a few terms I generally use during the admissions processes. The most common term is program. I always go over the institution program options and explain the courses in detail. Another term I use is Enrollment Agreement. During the admissions process when a student make the choice to enroll we go over the enrollment agreement in detail and I make sure they understand and I answer any questions that they may have.

Commonly used term and definition that we use at my institution are:

Accreditation/ we have to know who are we accredited by and inform our students.

Enrollement Agreement/we go over the enrollement agreement with and make sure they understand everything before the sign

Program/ we discuss the programs we offer or of there interest and assist them in making the right desicion with all the program information

Scolarshipsp/ we inform them that we do have different scholarship they can apply for.

Here are some of the most commonly used terms during the admission process at my institution:

1. First and foremost, prospective students want to know about our PROGRAMS. We offer a variety of diploma and degree programs. Each program requires the completion of specific courses.

2. It is also required that all new enrollments sign an ENROLLMENT AGREEMENT. When signed by the student, this contract acknowledges that the student agrees to the terms and conditions of enrollment set forth by our institution.

3. Students also ask about financial aid. TITLE IV funding is available for those who qualify.

As a relatively new Admissions Representative, I have discovered the immeasurable importance of keeping an organized, up-to-date Resource Notebook. I plan on keeping all my training materials, both from this training course and from my institution, in my notebook so that I have easy access to them. Thus far in my training I am learning what my role is as an Admissions Representative and what my responsibilities are as it pertains to working with and enrolling new students. I have learned that there is great importance in always relaying accurate information when answering questions from prospective students.

I never realized the importance of having a resource notebook until now, even though i have created a notebook each year to assist me with our annual inspections. The information that can be found in the resource notebook can be beneficial at all times especially being that it is created by me for the job duties that i perform. Therefore it will have all the information that i need to carry out my tasks efficiently and on time. It will aid me to answer questions thoroughly and correctly. It will enable me to be up to date at all times on the rules, laws and changes that occur in our guidelines, therefore implementing them as needed.I have now placed the definitions commonly used in discussions, the rules and laws of the commission, information regarding the financial aspect of the institution, description of admission staff and their duties,various forms and copy of the catalog, renewal dates and deadlines, information on faculty, organizational chart and information as it relates to student affairs.
I thought i knew everything about my institution but after doing this notebook and this course i realized i was lacking in my knowledge in some areas. By doing this i started researching the information i needed to know and finding out the person to gather this information from was easier after that. I now feel better able to answer questions of prospective and current students and fellow staff members. Thanks for placing me on the right path.

Interesting point to bring to the forum. Not all schools have prerequisites but those who do have an important task in explaining them and why they are important to the educational process.
