I have decide to keep the Laws and Regulations separate form our own materials. I have started to mark notes to cross reference between the 2 notebooks- I have made notes in the regulations as to where we have covered that in our paperwork.

We organize all the student paperwork with a student file and checklist. There is paperwork required by the Commission and we also have paperwork required that is course specific through our affiliation with PADI (Professional Association of Diving Instructors).
I am creating a binder for all of my paperwork. I am adding my tests to the binder as well.

Having the paperwork organized is very important. When CIE staff completes an on-site visit, the evaluator can assist you with any questions.
I have been using my binder for the last 6 months and it works tremendously, organization is definitely one major key to being successful.
Our school is relatively small and I have recently rejoined the staff. I am currently in the process of reorganizing the files in the way most conducive to State guidelines and easy workflow.

I currently have all admissions paperwork in file folders, but I do see how much easier a binder would be especially while training new and current staff members. I will start one upon completion of this course.

Electronic formats do provide an easy access to documents. Moving in that direction takes time and especially changing a culture of those holding on to the paper!
Itis really demanding that any person who works with papers shall be 100% organized and take advantage of the new technology and saved all documents either in CDs, Flash drives, plus the papers.Every single year is like a Sunami of papers stored in our job when looking for a student's file,so I am committed to work extra time to store all the information in Cds,flash drives, etc. It will occupy less space, save time and never destroy the papers unless it is a decision coming from the head department.Plus updating every single file when necessary.Hope we keep all in the track for better results in every single institution where students is our main target.
