I have a binder with tabs for the different sections color coded for ease of access when needed. They are also labelled with large print font so others can use with ease also.
The way that I keep this paperwork organized is by using a binder and having an outline page in the front. That helps me find the right documents when I need them.
I have a file folder for all the paperwork I have for my student. Once the student is officially enrolled, I submit all important docs to the departments needed.
I am creating print outs and organizing them by topic, much like they are organized in the training itself. I am then clipping them and placing them in a folder that I keep on my desk. This way it is easily accessible and I can add and remove items as needed.
All the paperwork is kept in a folder with tabs in a locked filing cabinet. As a back up, the pertinent information is scanned and kept on a flash-drive.
Each student has a personalized file with color-coded tab dividing each section, all the information is locked and I use a check list in front of each file to see what is missing, once the check list is complete I submit it to appropriate department. This is a great help since I never got a file back, everything is always complete!
julie,
Maintaining the students paperwork is very important. If it contains any student information should be locked and secure.

Mario,
What a great idea! Having the order in which it will be discussed with the prospective student gives you the information you need as you progress through.

Tanya,
You are very organized! Thank you for sharing your process on the thread. This will help others create their own resource notebook.

A checklist is included and documents are organized in the order it will be discussed with the prospective enrolling student.
There are so many good suggestions in this thread. From what I've read, I plan to keep a soft copy on my computer which can be easily accessed, searched, and modified.
Additionally, a printed copy in a binder will be available. I plan to use sheet protectors which will help preserve the pages while still allowing them to be easily switched out when a change is made.
Finally, I will add a footer to each document which will include the file name, location, and print date. This will help ensure that in the event that I am not available (i.e. catastrophic event),the process and compliance documentation is accessible and able to be kept accurate and current.
Colleen,
It is living! And it will grow. You're building a great resource.Congratulations!

Ian,
Organization is critical in admissions. We deal with so much paperwork that is part of the contract with the student and their admissions file. We could not survive without organization.

I have created a binder in an effort to make it a "living document". It contains all the statutes and rules, Terms and Conditions, Catalogs, enrollment agreements, and advertisements. It has plenty of room to grow!
working in school admissions organization is key without it things can get very difficult.
I keep all my paperwork in a binder with tabs, plenty of highlighted areas.
Also I have them saved in a folder on my laptop.
