We have a file for each students with the agreement and evaluations that each has taken for an specific class.
I am organizing the information in a three-ringed binder at the moment. I have not completed the dividers yet, but anticipate that I will have that ready to go tonight.
I have organized in two broad sections. I have all of our institution information at the front of my binder in sequence of how I present the information. The back of the binder has all of the rule and regulation data.
Patty,
I have printed each section and I am creating
a notebook with reference tabs in order to be
able to look up information as I may need it.
I have a binder at my desk with all the related training forms.
At first I used hanging file folders but will now organize in a notebook. Seems to be the most efficient way
Elaine,
Excellent! Keep them involved and engaged with the activities and students of your school.

That is a good idea. I am applying for accreditation this year and I plan to have my advisory group read and discuss my documents with me.
Santhia,

I wrote an admission check list/procedure. Then, I put the binder together as a handy reference.
I have folders to organize all admissions information. These folders are updated and information is placed in the student database. the student database has links to scanned signed documents by students.
I've put together a binder which consist of vital information that I will utilze in my day to day on campus interactions. I am elated to now have such a binder that I may refer to. I have added colorful tabs to pinpoint certain sections i.e. Enrollment Agreements, Transfer of Credits, accrediting and lincensure agencies.
Hi Patty,
I have several methods that I am using for this:
1) The Resource notebook - I have been using my printer to make copies to ensure that the areas of the material that are either new to me, or the areas that are vital (although all of it is), that I have a hard copy on hand in my notebook.
2) I have a file folder on my desktop from saving copies of the PDF's for quick access. I was especially careful in naming the files, such as "Rule 6E 1.0032; Sec. 1005.34; Sec 1005.31; Sec 1005.38" and etcetera, to make sure that whenever I need to refer to it, the information is right at my finger tips.
3) I make sure to constantly visit CIE's website to any updates to rules, which they will clearly identify. Even the FAPSC website notifies online visitors of updates to rules and regs.
4) I get E-Mail notification from CIE about changes and updates to rules and regulations, so I make sure to keep current. In our industry, it is vital to keep abreast of everything that happens, and most important to keep current about the areas that pertains to our areas of responsibility.
5) I talk with people (colleagues) in the industry, especially former leaders who I trusted and admired for their work ethic and attention to detail pertaining to being compliant to rules, standards, and regulations.
This has been an interesting experience. Thanks for asking me this question.
