John,
I got a large spiral notebook and colored dividers. I labeled the sections and put all of the paper work related to the coarse in a specific section. I have found that this method allows me to quickly find whatever source I am needing and keeps me organized. I have also met with those working in the various departments to get a better understanding of the various steps a student must go through during the enrollment process.
As other Admissions Respresentatives have indicated, I will be organizing all documents, policies and procedures of our school in a binder making sure they are current at all times.
I, like many others, also have a large binder that is tabbed with the state rules and regulations as well as my school's specific rules and requirements. This allows me to find answers quickly. I also spent a week of training where I learned about all aspects of the enrollment process from recruitment to career services which I found extremely helpful as well.
I have a script that I follow while on the phone since I am at a global campus. I also have a checklist to make sure I discuss all the important points
We use a checklist inside the student's folder. All items listed above the shaded area are to remain in the admissions file. Items in the shaded area are not part of the admissions file and are forwarded on to the appropriate file area after the director reviews the file.
I actually sat through a FA apt today and it was very informative.
I find it helpful to form a checklist containing general headings. When I am conducting an interview, I fill in the students information. Using this not only keeps me on track, but I also learn all the information I need to help the student best.
I have a 3" & 2" binders that are now full.(Thank you.) I have placed the pages in document protectors and have tabbed them according to subject. Having previously maintained similar books in other fields of work, I found this to be a tedious but necessary task. I am now ready to reference any question or issue regarding my school.
I plan on placing dividers into a binder and have my information organized in the following order:
1. College Catalogue
2. Addendums
3. Financial Aid
4. Enrollment Requirements
5. Enrollment Process
I'm actually so eager to get this accomplished that it's going to be my weekend project, ha-ha.
I think this should be based on a personal preference. A binder in my opinion would probably work best for me. However it's all about what keeps you organized not neccessarily how you do it. The most important thing is you have the information you need at your fingertips whenever the time arises that you need it.
I think its important to do whats suits you best. For example--how will I be able to identify and obtain all the information needed in a timely and easy manner. Some people find that binders work best or possibly having a stack of information readily available for any individual student is better. I think its about what keeps you organized best and that of course is not going to be the same across the board for everyone.
I have a folder with everything I need to complete the process
I love your example file idea. I also would learn from experiencing each department and how it works. All staff should spend time in other departments.
I keep an example file as well and make sure that everything matches exactly. I also keep a copy of the file for myself so that I can keep track of the student as well.
I have found sitting in with financial aid to be very informative also.
We followed the outline as close as possible. Also the templates and examples throughout the website were a great help.
I organize all of my paperwork with backup files as well as hard copies.
I think a good way to go about organizing all of the materials associated with the admissions process is to have an example file. When you have an example file that shows the manner and order to which everything completed provides clear direction for the agent. It allows them to review the paperwork and ensure theirs matches; if not then they can see what they need to correct.
I printed out the requirements supplied in the links and i am currently auding our admissions binders to make sure they meet these requirements.
My college has created folder system for managing applicants. Each folder has specific instructions about what is needed to accomplish the enrollment. Each folder is reviewed by at least three people prior to enrollment.
