It's great for update any new regulation

At Florida HVAC Tech, we commonly discuss how we're in the process of becoming accredited. Our advertising and marketing materials explain a basic overview of the program offered at the school and what our overall goal is for our students. We also include the enrollment agreement, that we are headquartered in Cocoa Beach, and that we're in the process of offering scholarships to students.

The Resource Notebook is a great reference tool to make sure you are providing accurate information at all times. As an Admissions Rep I get questions all of the time, and sometimes they are about subjects I’m not as familiar with (especially information that may vary by state). By using my Resource Notebook and keeping it up-to-date I can ensure I am communicating appropriately and maintaining the credibility of my learning institute.

Admissions audit- a form we use as a checklist- a go-to, one pager with all of the the requirements listed and financial information at a glance.
Financial Planning- a meeting we have with each prospective student to gauge whether we can accept them with the understanding that it's a financially responsible decision.
Interview Appointment- in this meeting we go over policy stuff, make sure all the student's materials have been submitted, make sure all financials are in order, and clear up any last minute questions.

In my previous job, I set up a similar book and it was a constant go-to reference for not only myself, but anyone who covered my job due to vacations, etc. As long as you keep it current, it becomes an excellent resource which everyone should have at their desk.

Enrollment Agreement: a legally binding contract signed by applicants to licensed institutions as well as to personnel at the institution. Florida Administrative code: The rules that have been developed to implement Chapter 1005, Florida Statutes. Marketing:A general term that refers to an overall aproach to promoting your school and its programs including creating, distributing, pricing, and promoting goods, services, and ideas. Enrollment: Registering a student to take programs of courses at an institution when such registration obligates a student to pay tuition to the institution and obligates the institution to provide instruction to the student.

I agree that a reference notebook will be a great reference tool. However, with my institute practicing green practices how effective is it to print every document and catalog it in the notebook verse reviewing it online?

Most of the information given I have put in my resource notbook. I feel that this will be a great asset for me.

My resource notebook is a tool I use to be organize. It contains vital information that I need to better assist my students. To name a few, mission statement, catalog, student handbook and even personal notes.

A few common terms that are used are:

Accreditation
regulations
Pass Rate
Graduation Rate
Class Hours
Class Size

Mary,
Very effective! This is a great process and we appreciate your sharing this on the forum.

Mary,

Having the students sign the check list, provides an opportunity for them to be an active partner in completing the packet. Often times we complete the packet have a checklist and the student is not involved. This ensures that they understand what they are signing and what needs to be completed.

Our institution includes an application checklist that is signed by the prospective student and the admissions representative. It is an effective tool to ensure that all parties have the correct information for a successful enrollment and is a helpful reminder for the representative. This checklist includes program costs, background permission and fee, high school/college transcripts, attendance and conduct policies, uniforms and supplies and FAFSA.

Our Admissions process includes a checklist that must be signed by the prospective student and the admissions representative. It contains cost of particular program, background check agreement and fees, high school/college transcripts, FAFSA, attendance and conduct policies and a list of immunizations required. It is an effective way to ensure coverage of all required material for successful enrollments.

wan,
You should find a way to maintain your files that is best suited for you. If an electronic file is the best, then by all means do so.

I understand the neccesity for a hard copy Resource Notebook but I am unclear as to whether a digital copy or copy's with updates is frowned upon? Is a updated ditial file acceptable?

Thanks,

Robin,
We always have to keep the regulations in mind no matter what we do in the operations of admissions. We need to be professional and never provide misleading information.

Janique,
Great! You're combining the information of your particular campus with the notebook. This creates a valuable resource for your use.

Patty Aronoff

Juan,

The value of the notebook is based on current information. It is a living document which needs to be updated regularly.

Patty Aronoff

Fritz ,
The notebook is a resource that you can combine your campus information as well as the regs. That is the beauty of creating the notebook to fit your specific needs.
