The student's file is the historical record of their contractual agreement with your school. It is important that it is kept accurately and in compliance.

We keep enrollment packets that are pre-assembled to hand out to each new potential student. That way, they can read over all the information at their own pace. this is not to say we don't discuss in depth with the applicants, just a reiteration for them to keep.

I created a resource notebook and added dividers for easy access to the information I need. I plan to continue adding relevant material and update.

Creating a Resource Notebook. This is a great training process, its so easy and well organized.

We create student file that includes:
Signed student Application
Signed copy of Enrollment Agreement
Signed copy of Rules and Regulations
Student Schedule of Classes
Transcript Schedule of classes
Copy of Florida Rules and Statutes

I have decided to organize the paperwork with the following format:

Admission requirements, program fees, financial aid refund policy and student services together in a section

Rules laws and statutes as well as administrative depts functions would follow.

Catalogs, enrollment agreements, marketing plans and tools, organizational chart and accrediting agency at the back of the notebook.

We create student files for each student, each file contains completed student application, enrollment aggreement, schedule and transcript as well as information on florida rules and statutes.

We alos include the student's schedule of classes and their transcript of completed classes.

We create student files for each student and in the student file we have the completed student application form, the completed enrollment agreement, the signed rules and regulations and Florida Statutes and Guidlines. Each student file is filed and secured. When a student has graduated/completed their program the file shifts from Active to Completed.

I have set up tabs for ther admissions process along with those policies and procedures at my institution, Student interview along with those policies and procedures at my institution,also several appointments I have set on my calendar to review and update the folder.

Organizing paperwork is critically important. The reason behind this is the preparation put into preparing an interview all the way through to the student graduating school all requires the admissions rep to provide clear, correct representation of the institute and also requires the paperwork, physical and electronic, to be properly filed and accessible by the proper parties. All of this compiled helps to stay in compliance and provide the best student experience for their post secondary education.
