At our institution first off we take classes like these as much as possible ti inform us as well as all the information that the school director and director of education collect and we all sit and discuss the information. Admissons Reps MUST attend all meetings and they have a check list and a binder of all the rules and regulations whatever they are not sure of they can go back to this binder. Our Director of Admissions most of the time speaks to each prospect student and makes sure they they understand everything they were told and will also ask them question just to make sure admissions did say the right things.
Linda ,
We have an obligation to provide current and accurate information. Compliance training and continual education in all areas is a must.
Patty Aronoff
In order to harbor a culture of compliance there needs to be thorough and up to date communication and training. There also needs to be transparency and one needs to be well versed in all areas.
DAHLIA,
Sounds like a great orientation getting everyone involved to fully inform the students so they are well prepared for the first day.
Patty Aronoff
At our orientation process, all documents will be provided and discussed in detail with all prospective students. All questions will be thoroughly answered, to provide the students with accurate information so that they may make positive and appropriate decisions upon enrollment. Alumnis of the school have been invited to this meeting in the previous enrollment session to relate to the prospective students their educational journey, obstacle they overcame and the outcome of their education process and where they are now.Faculty is also in attendance so that students may ask questions and become familiar with the faculty members.
Ms Patty,
I totally agreee. Monitoring the enrollment process affords the opportunity to correct deficiencies.
Thank you.
merlene,
We always should be monitoring what is happening in the enrollment process. Correcting errors is extremely critical.
Patty Aronoff
Sitting in on the enrollment process and learn what is being communicate to the new student. If clarifications are needed provide those to the new student. Also have a cheat sheet for the enrollment person and ensure on going training is provided to that particular staff.
Christy,
You fully described the best practice of admissions. A great combination.
Patty Aronoff
I agree, the first impressions is very important. People want to get help and being answer right away.
Developing a culture of TRANSPARENCY & HONESTY is of utmost importance. In addition, making sure that ethical practices and compliance are an ONGOING. It is the combination of these that will produce growth and retention, thus reflecting that Admissions is being handled accordingly and accurately.
Willie,
It is so important to communicate effectively so there are no misinterpretations. I have them explain it back to me so we are clear.
Patty Aronoff
Willie,
It does set the tone! First impressions from the person who greets them at the door, on the phone, or online can have a huge impact.
Patty Aronoff
Great suggestion. It is key that you completely understand the student and their concerns. Ask the right questions, this will give you the opportunity clear up any jargon that could possibly be misinterpreted.
The enrollment process sets the tone for the student experience. It is imperative that you operate with transparence and communicate all policies to students. There is nothing worse than a student in their 1st or 2nd term of the program to find out that they never met enrollment requirements. This will have an adverse effect on the institution, your credibility, and would ultimately create a hardship for the student.
Jeremy,
What an awesome idea! Compliance seems so boring and you have made it fun!
Patty Aronoff
Hi Jay,
My organization also ensures that compliance is a part of our everyday culture. We participate in peer review call forums; where we listen to calls from all departments. We look for both positive take aways and also look for areas of opportunities for improvement. Every aspect of our day-to-day functions are monitored and reviewed by multiple departments to ensure that we consistently act with honesty, integrity and remain compliant.
I am the lead enrollment advisor for my institution and part of my role is to make sure that not only myself but my coworkers are up to date on all procedures that relate to ethics and compliance. Last month I assisted in facilitating "compliance week" at my campus. Compliance week consists of games, trivia, and role-playing scenarios that relate to the admissions process to ensure that all admissions advisors are up-to-date only compliance policies as well as proper verbiage that should always be used.
Julius,
A very good point to bring up. Even though we do not want to infer that the student will require a refund, they do need to know how it is calculated.
Patty Aronoff
One thing that can be done is ask about the cancellation policy or the ask the student about the refund policy.
