I placed the following in my resource notebook:
a. School Enrollment Agreement
b. Marketing Plans
c. Policies and Procedures
d. Organization Chart
e. Institutional Accreditation and Approvals
f. Placement Rates
g. Places where our graduates found employment
h. Number of students in each program
i. Bio on Instructors showing degree and years in field of expertise
j. History and Background of my school
I have gained a better understanding of the rules and regulations my school must abide by such as it is not permitted to initiate contact with students who are enrolled at another school. Once a student says they are attending another school, no further contact must be made.
I am working in a branch that is about to open so there is a lot of information to keep up with. I have started my notebook and at this point I am keeping this course, a school catalog, enrollment agreement, marketing materials, and the specific policies and procedures our branch has designed. I will also include an organizational chart and current information on laws and rules from the state board.
Dana:
Sounds like you have put together a good resource notebook!
During my employment training I have received a packet of information that includes; a current course catalog, enrollment agreements, current and historical placement and graduation rates, current tuition costs, information regarding my institution and its history, and state and federal rules and regulations. With that I also have a binder that I add meeting minutes and updates, state and federal changes that effect my institution, my personal notes for future reference, and printouts from this training.
I placed samples of School Enrollment Agreement, Marketing Plans, Policies and Procedures, Organizational Chart. This enables the Admissions Rep to have clear understand of what is expected of them.
I have started getting my binder together. In the binder, I will have rules and regulations for agents, examples of different kind of documents that we use on my campus, a copy of the school catalog, and marketing materials. I plan on adding many different useful things as I get more experience. I didn't realize that out-of-state schools that recruit students in Ohio should also participate in agent training. I am curious to know how that is regulated.
My binder includes the student catalog which covers our entrance requirements, graduation requirements, grievence procedures and more. Also included is our course session schedule, class overview of each topic, our financial policies, enrollment agreement and more. I am continually adding material to the binder such as advertising and marketing materials including student pictures for which I also have their photo release in the binder.
I did learn from the quiz that once approved the agent DOES have to reapply for licensure. I thought they only had to apply for RENEWAL.
I have a copy of my school's catalog, tuition and expenses, placement, student handbook, a listing of the colleges we have agreements with, and the employee policies and procedures in my resource binder. I will be adding the marketing material and an organization chart. I also have a binder for the meeting minutes and up-to-date information which I will be combining with the resource notebook to have handy.
