I found the information to set up the Resource Notebook very imformative and it really gave us much insight on how to organize it and keep the links needed.
WOW and I thought I was on top of things. My notebook had a copy of June 22, 2009 CIE regs in it. I was thrilled to see an updated February 1, 2011. Like most schools, we wear many hats and it is hard to stay abreast of changes. Glad to see CIE is making all Admissions reps accoutable.
Most of the terms that I used at work during the admissions process are: accreditation, enrollment agreement, academic programs and financial payments.
The terms that I use the most in the institution that I work for are: accreditation, commission, enrollment agreement, programs and tuition. These terms are essential in my conversation with the prospects; these definitions respond some of the questions they have about the school and the admission process.
Many of the terms we use with prospective students during our admissions process revolve around the types of special software programs that are taught at the school, such as: 3d hard surface and organic modeling, 12 principles of animation, or definitions of techniques we teach during our visual effects portion of the program.
Terms and definitions relating to process of actual enrollment may be session start date, housing agreement, intensity load of material, hours of lab access, etc.
We use many of the same terms listed in this section. Some additional terms we use include start date, graduate placement, tuition, clock hours, marketing, inquiries, and many others. It is nice, almost validating I guess, to see that this is a uniform practice - that the terms apply to many other institutions. There are many other representatives out there using the same terms/definitions with the common purpose of assisting students to meet their goals and pursue their education.
Some of the terms and definitions used during the admission process are: Enrollment which is the day the person registers, Enrollment agreement which is a legally binding contract signed by applicant and institution, catalog which is where the regs are written, admission policies which are the requirements for entrance to a program, termination policies which are requirements to graduate, financial aid and tuition assistance which are federal allocations of funds, CIE which is the body that license the school, accreditation which are the gatekeepers for financial aid, transferability of credits into and out of the institution, refund policy and employment placement services which is how institution assists students in getting jobs
To be honest I didn't have a complete notebook as I did not have the definitions and the regulations this is something I am definetly going to add to my notebook. To help enhance my effectiveness and knowledge as an enrollment agent.
The Resource Notebook that I have at work is like my bible at work. I will find in my notebook everything I need to know about Admissions Department and my institution (Who we are, Mission, Vision, objectives, academic programs, admissions requirements. financial information, etc). Every time that any updates come out, I keep a copy of this new information in my resource notebook and follow it immediately.
Having a resource notebook is a great tool as a representative. I started by gathering some documentation mentioned in the module such as terms and definitions and the school catalog and I definitely find this practice very helpful. I learned the importance of being informed about all the efforts made by my institution in order to advertise our programs. I will keep gathering more info to my resource notebook and keep it updated!

I have placed a school catalog,handbook, CIE's statutes and regulations, an enrollment contract. I'm going to place information about marketing materials, the staff rules and regs manual. I discovered the fair consumer practices and read the 6E-1. CIE policies
Building a Resource Notebook is a great idea because you can have access to the resource at hand. I started printing out the definitions before knowing that the handbook was suggested. With a new binder handed to me this morning the information I have added to my Resource Notebook are the Terms and Definition and also our school catalog.
What I’ve learned is that everyone in the College has to complete the Admissions compliance training. I thought that only the admission department had to take the training and other departments took their training base on the department they work in.
We commonly use terms such as Enrollment agreements,Commission,and Program.
Enrollment Agreement - a binding contract that is signed by the applicants to form an agreement to terms of enrollment and provides disclosure of important policies of the institution.
Commission - The CIE protects Florida consumers by providing regulatory oversight to private post-secondary institutions operating within the state of Florida
Programs - a group of courses taken in the proper sequence to attain mastery of a body of knowledge or set of skills leading to a certificate, diploma or degree.
I'm actually working for a start up school. In our case we are starting from zero. We are putting together phone guides, to enrollment process, to now working on the Resource notebook. What I have discovered so far is that marketing must follow some very strict rule as well, not only admissions. They need to be very clear on all marketing material whether is TV ads, or newspaper, internet, etc.
What are some of the terms and definitions commonly used during the admission process at your institution?
The terms in a majority of the admissions processes around the country are much the same. However, here are some of the terms that are common to our conversations; Financial aid, enrollment agreement, Prior Learning assessment and accreditation.
• Financial aid – It is a combination title IV federal funding, grants and loans, for those who are eligible.
• Enrollment agreement – provides the student with time to completion, requirements for program of choice and number of credits necessary for completion.
• Prior Learning Assessment – evaluation of work experience/life experience that maybe equivalent to college credit.
• Regional Accreditation – Regionally accreditated universities are members of the North Central Association of Colleges and Schools by The Higher Learning Commission. Regional accreditation is given to institutions that have met the educational standards and requirements established by its regional accrediting body, as recognized by the U.S. Department of Education.
We use most of the terms, including Enrollment Agreement and Admissions Interview.
Accreditation: Prospective students often ask about our accreditation - they want to know where our degree will be recognized. I can tell them that we have Regional Accreditation, and that their degree will not only be recognized in Florida, but in all 50 states, as well as internationally.
Completion - the number of students who start and complete the program in a predetermined time frame
Placement - the number of students working within the industry that the school is training them for
Licensure - the number of students who complete the program and receive their license from the state
