The enrollment agreement along with the catalog constitute the contract with the student. Admissions requirements are set by the individual school and all students must meet those requirements in order to be admitted.

FERPA is a federal law that protects the disclosure of student information. The student must provide authorization for release of information to third parties. As school representatives, we must be very cautious on who we provide information to as well as verifying who has been authorized.

Many students confuse the term accreditation with licensure. Licensure is established by the state. Accreditation is voluntary and licensure is mandatory.

I have placed the enrollment agreement and the rules of the school and housing in the Resource Notebook.

One would be enrollment. There are things we need and require to be enrolled. Going over those things with the perspective student is very important.

In our resource notebook we have compiled the following: School Catalog, Policies and Procedures, Enrollment Agreement, Admissions Staff Training, Accreditation, as well as the Organization Chart. Having the Resource Notebook is a great tool. During this course I have learned about the Florida Statutes, compliance regulations and much more.

I have placed all documents I need to be a successful admission representative. The Resource Notebook will definately be part of my everyday tasks. To ensure it is updated with the information I need to generate a great interview with prospective students. Being in education for over ten years, I learned that every institution operates slighly different but all have the same goal to ensure the success of a student.

Before our program even started enrolling students for the first class, a "Resource Notebook" had been compiled to include the following documentation:
1. Names and Personnel Files for Staff performing the following administrative functions: Applications, Resumes,Transcripts,CEU's,Instructor and Administrative Personnel Forms.
2. Organizational Chart
3. List of Current Programs with Enrollments
4. Sample of Lesson Plans, Syllabi, Copies of the latest Advisory Committee Minutes, A Copy of the Faculty Handbook and all Advertising and a List of textbooks/workbooks for each program.
5. Enrollment Packet and a List of Agents.
6. Complete Listing of Full and Part time Instructors and Copies of Student Evaluation Forms to be completed on each Instructor.
7. Description of how Library and Information Services are offered to Students, along with the hours that resources are made available to students and staff.
8. Copies of the most recent Fire Inspection,Current Occupational License, Health, Safety and Welfare Concerns, Current Inventory of Equipment and necessary Supplies for students and programs.
9. Description of Student Services Available and Hours of Availability.
10. Catalog and Blank Enrollment Agreement
11. Copies of any additional information, materials provided to students, additional disclosures provided by accrediting agency and copies of Regulatory Board approvals.
I have discovered, that even though, our institution is a "Non-Degree" Granting Institution, that we are still held to the same standards as those Institutions who grant "Degrees".

What if your title is Admissions Advisor? Is that still considered inaccurate?

I have added my schools catelog, enrollment paper work as well as the enrollment checklist. I have also found it helpful to include conversation notes I have made from conversations I have been in throughout my training with staff and managers

Enrollment Agreement - the binding contract between student and the institution. As Admissions Coordinator I am responsible for ensuring that this document is filled out correctly and to its entirety.

Accreditation - students always seem to ask if our institution is accredited. I think being accredited gives you an advantage over a school that is not since having a federal funding program in place is helpful to the student.

The most common term used at my institution is accredited. Most potential students want to know if our programs are accredited. They are not, and the potential students are told that it is a certificate program and they will recieve several certifications in their field if they pass the corresponding tests.

The term "counselor" brings a different connotation to the title. Counselor is reserved for those professions achieved through specific education in the field in which they counsel.

There are some that would agree but there is an extreme benefit in creating their own. They are learning as they are building. They are also creating a tool with which they are very familiar and can quickly access the information they need.
