I am fortunate to be taking minutes for the weekly Administrative/Advisory Board. In this way I am forced to delve deeper into the subject and question team members so that they are correct and accurate for all. I think this gives me a better understanding of the processes, proceedures, and changes comming down the line.
Reading open forums on the Intra net also clue me in on what is currently and issue or change comming up. Are there any other venues I should be using?
Normally I will attend any meeting possible. I love working as a team and being on the same page. Getting information at the same time also helps everyone get on board. I do like going to departmental meetings as well such as Academics, or finance so I can be aware of any changes possible occuring or things that will help me understand their roles and what the student experience is.
In order to learn more about the institution, I think the most effective manner is the learn the procedures of my department and observe authorized presentations to prospective students.
At my institution, we have weekly admissions training meetings and weekly product knowledge training meeting when we meet with Department Chairs or instructors to discuss different classes in different programs and what is trending in the job market. These are help every week which I find extremely beneficial when communicating with prospective students as our programs and industry standards are continually changing.
Our team has a weekly meeting every Friday. We talk about updates on policy, how to better stay in compliance, and we even discuss certain students that we call "kudos"-Students that have really pushed to get this done for themselves and overcome many obstacles to do so. We also make suggestions on what should be discussed in our biweekly meeting (a phone conference between all of our campuses) where we discuss tactics used during the entire admissions process. Usually this involves overcoming specific objections. Some objections are static and heard on a daily basis and some are seasonal, if you will, like holiday objections-"I have so much going on. My relatives are coming over. I can't possibly make it in. Too much to do and my head is all over the place. I'm not ready. I want to wait until after the holdiay." We talk about how to tackle things like this.
We have every day meetings where the Director of Admissions and myself meet to catch up and plan our day. We in addition have meetings with Financial Aid as well on a weekly basis so that all of us are on the same page for the new hires
