our campus has premade folders for each program. it makes it super easy to be able to follow whats needed to be signed, when its needed, and ensures you have all the paperwork that is needed for specific programs.
we go through periodic training with all our departments, including our program directors, to keep our information current and make sure we in admissions are fully educated on changes that arise
When I was an admissions rep (and as a presenter) I have a seperate folder for each type of paperwork that is essential to the admissions process. They are then seperated into larger sections based on steps of the process. I also made up folders for each student that was coming in with a copy of every piece of paperwork that is needed as well as a checklist. I have a similar process for working as a presenter.
Thanks for your thoughts Andrea! I just recently took a position as and Admissions Representative and have so much to learn about my institution. Your post is giving me a great starting point!
At our campus we did something similar to this in whcih we had a meeting with our SDoA in regard to all enrollment paperwork. Each piece was explained in detail in terms of what needed signed by the students and ourselves.
I printed off all of the information suggested in this course. I created a notebook to organize this info with tabs that are easy to identify.
all enrollment paper work is managed with an all inclusive check list to make sure all agents are including the necessary paper work and disclosure for students
I agree that sitting with a financial aid rep can be very helpful and beneficial but Admissions Reps should be careful not to discuss too much detail regarding financial aid with a prospective student. Sometimes knowing a lot about financial aid and the process can entice an Admissions Rep to discuss financial aid in too much detail.
I make copies of all the information that I obtain from the students including enrollment agreement, results of entrance evaluation ,and proper identification. I keep this information in a binder in a secure location.
I have a extra large binder and I keep everything in there. Then I have it stored on my shelf.
We have folders with all necessary paperwork included. Also, a checklist so that we do not miss anything. This will also allow other departments to follow up on the what needs to be completed.
I printed all documents with a print icon and put them in a binder at my desk
i agree, sometimes it is more informative to sit through another staff's process with the student to be informed on what the overall school's regulations are
I previously used a checkoff list to ensure that all necessary paperwork was complete. This list was attached to the Student folder and included the dates completed for each step in the Admissions Process.
To insure that all the paperwork is completed in the home, which is where my work is done with the family, I have a specific process that I follow every time.
I have a "stacking order" that I use to check off all of the things that I need to include as I build my student packets, including the enrollment paperwork. These are always organized in the same order, which is the order that the items will be presented and reviewed with the student and family.
After the interview, if an enrollment is generated, I again arrange all of the enrollment paperwork in a specific order and subject it to a check off list, in the home, to insure that nothing, including signatures, was missed.
When the paperwork is mailed to the school, it goes in the specific order that they prefer to receive it so that it can be quickly disseminated to the proper departments.
Paperwork was organized in a manner that flowed in a way best suited towards the prospective students needs. I have had no issues with paperwork.
I feel that it's a good idea to meet with financial aid and do some role playing. You can be the student this will give you an idea of how the student feels during the process.
This is a great idea! During the module, I took the system's advice and started printing items and creating my own binder with helpful information. I think I will sit down with someone in my finanical aid department as well to make sure I have a clear understanding of their processes as well.
I made a point to make a folder than contains all admissions paperwork/laws to have on hand at any time.
I agree with this as well. Knowing everyones role within the company and how it works assists in success.
