We went through the course and discussed the requirements with our supervisors

At my school we have folders with specific forms that need to be filled out by us and the students. They are organized by program and each one has a checklist to ensure we have all of the documentation. We also have FA folders with the documentation needed for FA. At our weekly meetings, we go through our list of students and make sure we have all the completed paperwork so that we know what we are missing, if any.

I would organize this in a large three ring binder - just like what is suggested for the resource notebook.

In my current position I rarely am involved with certain parts of the admissions process, such as the enrollment agreement or financial aid. I am more of a representative that is a first link for a student wanting more information. Still, my school provides me with a handbook that reviews this information and I know where to access the information should I need it.

Along with my binder with all my information, our college has also set up a folder system and checklist for us so all guidelines are followed exactly.

We have a specific file folder for each program with not only Ohio Laws, and very specific paperwork that is pertinent to the student's program

Hi John,

It's Nicole Bittner, an alumni of yours! Here at the college I am starting to do admissions in we have to sit in on the FA 1 appointment with our prospective student. I believe that this is not only beneficial to us as reps but also makes the prospect feel at ease with the entire process. Our F2 process is done with just the FA reps and the prospect which includes their personal tax info, FAFSA, etc.

Thanks for sharing!

We have a great powerpoint presentation along with a financial aid video that gives complete details to a student that all have to see before they enroll. Very informative.

I agree. I get to sit through the FA overview for everyone of my students as a practice at our location. It's not the whole appointment but it allows me to see a little bit of the "other side" so-to-speak.

I have created a folder containing all of the required information. For any questions I was not clear on, I have found that my supervisor and the financial aid coordinators have been very helpful resources.

I always liked to have a binder with examples of the required paperwork in order the way it is completed, along with a checklist that can be used as a reference. Then I kept the acual forms in a file cabinet in order that they are completed.

At my school we already have folders made up that have all the disclosures in them. Also within the folder there is a check off list. There are some things that are not in the folder so the check off list helps ensure that all paperwork is filled out and handed in. It really helps to streamline the process. We also have an enrollment processor that double checks to make sure all documentation is there.

We have packets put together with all the correct paperwork for each program. This assures that the student fills out and is provided with all the correct paperwork.

I put in a binder

i find it is best to do it step by step, as you collect new information from the student it is important to plan for it to go to the appropriate places when finished. that way it limits clutter.

We have binders created for us to follow in appointments. It really helps us stay organized and allows us to review state regulations when necessary.

I have everything in a binder with different tabs to make it easier to distinguish the sections. I also have hanging folders in my desk that keep different forms organized and to ensure I have everything that I need.

Understanding every piece that goes along in the admissions and enrollment process is very important to being a good admissions rep. In my first week, I met with the Director of FA and learned about the process. This helped me to better understand how to explain things to the student.

We have a checklist that we follow in admissions when completing all the paperwork for a newly enrolled student. It is stapled to the inside of the admissions folder for that student and as each piece of paper is signed and/or copied, the admissions rep checks off each item.

We have a checklist in our enrollment file that ensures we get all information for each program. Without a complete student file, we do not process the enrollment or send the student file on to the registrar.

We also have seperate binders for all paperwork. Everything that is State related is filed in one folder. Everything that our campus requires is also in a seperate binder. We have numerous filling and organization systems to keep everything neat & easily accsessible. We also do training seminars about efficient paperwork filing & sorting, and how to fill out all paperwork properly. Also we do stay in contact with each other with any update that may arise.
