At my current insitution some of the terms and definitions commonly used include "inquiry" as opposed to "lead" and Admissions Coordinator rather than advisor or counselor since these terms are not accurate representations of our job role. In order to prevent miscommunication with the student we are also advised to explain what we mean when we say "Financial Aid" as some students think this term only refers to grants. In our process we are sure to highlight that Financial Aid means the loans and/or grants that a student may qualify for through the Federal Financial Aid program. In my opinion the attention to these terms and definitions allows my institution to maintain an ethical standard in regards to the admissions process.
Some of the terms and definitions are as follows:
Entrance requirements-which are the admission policies of each program; termination date which is when the program ends; credit transfers which are the subjects which will be approved by SABER or the subjects that will be accepted by other institutions; accrediting agencies which are agencies recognized by DOE as "gatekeepers" for federal funding participation; CIE which is the licensing body; enrollment which the process of registering the students, including the enrollment agreement which is a legally binding contract signed by the student and the school; fair consumer practices which is the honest way of conducting business and academic relations.
Since I read all that should go in creating a resource notebook, I have placed so far, CIE's Statutes and Rules, a Catalog of the Institution, the enrollment agreement and the institution's policies and procedures. I have also placed the student handbook, an organizational chart and copies of marketing materials. This has all been tabbed and I'm making a table of contents of all the information in the notebook. So far I discovered that the persons doing the admissions must have a training and a background check.
Some of the terms and definitions used during the admission process at my institution is the accreditation and pointing out we are nationally accredited through the Accrediting Bureau of Health Education School. Another term is discussing and fully explaining the enrollment agreement what what the information is on it.
The resource notebook is vital to all student facing employees. I utilize this tool as a director to ensure that my representatives fully understand these rules. This has made my team more knowledgable and responsible and has helped us strengthen our new student experience.

Make the notebook work for you. After the basics, add important school specific information such as organizational chart, frequently asked questions, contact list, or ad slicks.

Follow the basics as outlined in the training and then make the notebook your own. Providing resources that may be unique to your institution such as an organizational chart, frequently asked questions, ad slicks are a great way to start.

The resource notebook provides a good source for reference materials that can be referenced if we come across a question we are not sure of.
The CIE website isan excellent source for update to the current rules. It is important to log in at least monthly to check for updates.
We use almost all of them. We use class start, registrations, enrollment agreement, statues, etc. Our institution is very involved with the CIE website and key definitions. We have one corporate individual in charge of communicating all new rules and regulations.
I have started to make my Resource Notebook at this time with all the information that have been provided. I have started a folder and I have tabbed each of the sections which have information that apply to our institution with the information that have been provided so far in this course. I am still taking the course and I have completed the course component thru Advertising and Marketing. So far our Institution follows the same Rules and Regulations as provided by CIE. We have a School Catalog, a Student Handbook and the Rules and Regulations of the Institution. I am always updating information and I find this course very valuable and helpful. I will continue to make My Resource Notebook and at the end of the course I will make a table of contents for easy access to each component, since it will be a valuable asset for me and my colleagues. As part of the institution Administration staff it is extremely important that I stay on top of any changes in the rules, regulations and other bodies that govern us.
