My recourse notebook is home to not just the Fair Consumer Practices and rules, not just the catalog and enrollment agreement, but I’ve begun keeping a section on the questions prospective students most frequently ask and the answers. I’ve learned that clearly explaining all the options to a prospective student empowers them to make a choice that is right for them…and gives me a chance to see how excited they are about the process!
Some of the common terms used in our institution are advertising, commission, enrollment & enrollment agreement, marketing, institution. I just recently became part of the school industry and believe these words will defiantly make an effect when speaking to a prospective student. Their bold words and defiantly stick out in a conversation.
I have copies of all documents we typically give to students, copies of trainings we have done and documentation on career outlooks for the degree i enroll for. It's the only way I can stay organized with the amount of students I deal with. I was not aware that there was mandatory training I always just did the training I was asked to do :).

Advertising
Any form of public notice, however disseminated or utilized, offering training or education to the public or recruiting students to enroll in an institution or college program. The term includes publications and promotional items which may be seen or encountered by prospective students, including catalogs and other institutional publications which contain institutional policies or disclosures; mailing pieces, such as bulletins, brochures, or flyers; classified advertisements; news releases; posters; electronic notices provided through Internet, radio, or television; or any other form of public notice resulting from the institution's recruiting and promotional efforts.
In an attempt to set the right expectations with all prospective students, one of the first things our enrollment specialists do is define our competency based model of education. Our learning model allows students to earn their degrees by demonstrating their skills and knowledge in required subject areas through a series of carefully designed assessments. We also utilize a readiness assessment which is our entrance exam. The phone conversation that adds a perspective student to the roll is called an intake interview. After a student completes their intake interview they begin our orientation course called Education Without Boundaries. These are just a few of the terms and phrases used at my institution.
Definitions are important to understand. We have a training for all staff that focuses on the terms and definitions of the terms. I often find there is confusion over the terms program, course and class. Having a training to cover definitions ensures the whole staff uses the terms correctly.
The resource notebook is a useful tool that provides an up to date answer guide to the questions someone might have about the rules or the school's programs / marketing. We have a scheduled to do to update our resource book monthly, or as documents are released. With a scheduled update monthly it ensures our notebook is always up to date and we don't overlook anything. It's also a great refresher and ensures we use the book regularly.
I just started the course, so haven't had a chance to put it together yet; but I'm making a list and can't wait to get started!
So far, I have the terminology. For myslef to review daily. Also, th eenrollment agreement. Ive highlighted important information for me to go back as a reference if a question arises. I included all the rules and regulations. I am still adding more little by little. I am very happy to have this almost complete.
Since we have a veriety of different ethnic backgrounds, different languages may have diff meanings. Therefore, I find myself trying to explain the defintions through out the day.
During the admissions process many things are discussed to determine if a student is a good fit for our organization and vice versa. To name a few, we discuss Accreditation and our accrediting bodies. We have two, one institutional and the other programmatic. We discuss our program offerings in-depth. We discuss the enrollment process and discuss the enrollment agreement as a legally binding contract and the information contained within the contract and our school catalog.
What a great resource tool. I will be able to go to one location for all necessary information pertaining to rules, regulations, institution catalog and important documentation.
Our Resource Notebook is a very valuable tool. It has all the information we need to know to successfully complete this course. This is a completely new field of work for me, so everything I'm learning about the rules and regulations is eye-opening.
It is my experience that explaining the financial aid process is one of the biggest challenges for any institution. Part of the reason is that the US DOE controls the definitions and processes. As is typical most regulations the challenge is in explaining these definitions and processes in layman's terms. How do other institutions handle this?
Patty, has the CIE considered providing an email blast feature to notify institutions and staff of changes? If such a feature exists how does one access this feature?
