As important part of the resource notebook all the admissions staff must have a FAQ. I suggest including it when you are creating a resource notebook.
Accepted- Potential student is in Smart forms and has tested.
Prepackaged- everything at the school has been done, and is waiting for information to be returned.
Packaged- All paperwork has been completed
I have put copies of the two quizes that I took for Module 1 & 2 to be able to refer back to them.
I am very lucky that we have a great Director and already had a Resource Notebook established.
In my Resource Notebook I have placed a variety of information. Of course a copy of the enrollment agreement, the flow chart with the breakdown of command at the institution, accredidation materials and the Policies and Procedures of the company. I have also obtain materials on Health Information Technology as well as some highlights of the program of informative information I need to know about the program I am enrolling students in.
I was not aware that a school that has headquarters in one state had to comply with each state the school is in. It now make sense, I was under the impression that all schools were monitored federal, not state by state.
Enrollment is one term often used. I explain to the student that they will register to start the LPN program. Then I discuss about the registration fee, the tuition cost, the admission requirements.
Accreditation is another term. Often, prospective students ask if the school is accredited. Then I need to explain the difference between accreditation which is given by accrediting agencies(national or regional). Although it is recommended, it is not an obligation for the school to be accredited. However, as a private school, it needs to be approved and licensed by the Commision for Independent Education. The PN Program needs to be licensed by the Florida Board of Nursing..
Enrollment agreement. When the student enroll to take the PN Program, the student fill out and sign
a contract. such a contat is also signed by me as as an admission representative and by the Program Director. This a 3 pages contract that inform the student about the policies of the school.
Program. I inform the prospective student that we offer the PN Program which includes a group of 15 courses throughout 12 months. Upon successful completion, this program leads to a diploma in Practical Nursing.Then the graduate student will have to pass the NCLEX-PN examination governed by the FL Board of Nursing to become Licenced Practical Nurse (LPN).
Prospetive students always ask about Financial Aid. I reply to them that they have different type of financial aid, including scholarship to offset part of the tuition cost. They also have access to loans. If they are interested in disussing with a financial advisor, I schedule an appointment between the financial advisor and the prospective student.
I also learned the difference between a representative and an agent, I am actually an agent so it was interesting to see the exact description of the differences.
I placed a copy of the terms and definitions as well as the Commission Rules & Regulations in the notebook. I did not know that outside Agents were also subject to the Florida Commissionn for Independent Education.
I have placed our institutions catalog referencing program details and tutition fees and expenses. I also have added the enrollment agreement as well as all marketing materials and marketing plans. I think it is important to have a resource notebook but it is more important to keep the notebook updated. I am going to use it as a daily reference and always have it on hand in order to answer any question at any time.

Accreditation and licensure are two terms that are confused with each other. Licensure is required by the State of Florida in order to operate legally. Accreditation is a voluntary association. To qualify for Title IV funding, the institution must be accredited by an accrediting body recognized by the USDOE.
